Best AI Accounting Software in 2026: Dext, QuickBooks, Xero, Digits and Vic.ai (Compared)

The best AI accounting software is usually the tool that fixes the unfinished job in the ledger you already use: capture receipts, categorise transactions, reconcile accounts or prepare the close. These 7 options cover different parts of that work, from Dext on top of QuickBooks Online or Xero to Digits as a new ledger and Zeni as software plus a finance team. An accountant still signs off on the books.

Best AI Accounting Software for Small Business: Pick by Job

Start with the AI already inside your accounting system. Add another product when you can name the work it will take over. A receipt backlog points to Dext. Unfinished bank feeds point to your ledger's automation or Booke AI. A founder who wants someone to own the bookkeeping should consider Zeni. A business willing to move its books can consider Digits. Complex supplier approvals point to Vic.ai.

The prices and plan terms below were verified against the makers' public US pages on 13 October 2026, including the public billing switches where available. Prices are in USD. The table uses ongoing starting prices or explicitly labelled annual equivalents; temporary discounts appear in each tool's section. Taxes, transaction fees and separately priced services can add to the bill.

The rows are ordered by job, not by an accuracy score or a universal winner. A ledger is the official accounting record behind your financial statements. Buying an add-on for that ledger is a smaller decision than replacing it, and buying a service with people included is a different expense from buying software alone.

AI Bookkeeping Software: Where the Work Happens

Receipt capture, categorisation, reconciliation and month-end close are separate jobs. Automating an earlier job can reduce the later workload, but it does not prove the later job is finished.

Capture turns a receipt or bill into usable fields, such as supplier, date and amount. Categorisation assigns the transaction to an account, such as software or travel. Reconciliation checks that the accounting records match the bank or another supporting record. The close is the review that makes a period's books ready to use, including adjustments that a bank transaction alone cannot explain.

Think about an annual software subscription paid upfront. The receipt establishes what was bought. The bank feed establishes that money left the account. Your accountant still decides how the cost belongs in the reporting periods. Matching the payment is useful; it does not, by itself, settle that decision.

Physical receipt capture tray feeding a ledger, followed by accountant sign-off, with financial questions arising from the ledger
Capture prepares the evidence. The ledger holds the records. An accountant signs off on the books.

For a founder, the practical question is where the work currently stops. Are employees failing to send receipts? Is the bookkeeper still choosing categories? Are unexplained balances delaying the close? Or are the books finished but hard to understand? Buy against that stopping point.

Before connecting anything, get ownership and access straight. The AI for bookkeeping client onboarding playbook covers the intake and permissions work that makes automation useful. A clean handoff matters more than adding another place for unanswered questions to collect.

How These Were Picked: AI Accounting Software for Small Business

These are public-page comparisons, not signed-in product tests. The evaluation uses current pricing, documented AI functions, ledger connections and the boundary between machine preparation and human responsibility. No acceptance rates, hours saved or accuracy results were measured for this article.

Each tool had to answer a buyer's practical questions:

  • Job: What recurring accounting work does it handle, in the maker's own description?
  • Home for the books: Does it use your current ledger, become the ledger, or bundle a service around one?
  • Review: Where do uncertain transactions, missing documents and accounting judgments go?
  • Price: What are the public tiers, billing commitments, relevant allowances and add-ons?
  • Exit from the task: Does the output mean a document is captured, a transaction is posted, or someone has taken responsibility for the close?

The shortlist includes established ledgers, focused add-ons and a managed service because a small-business owner may need any of them. It leaves out general chatbots as substitutes for a ledger, and practice-management tools whose main job is organising an accounting firm's staff. If that is your buying decision, the separate best AI for accountants comparison covers that wider practice workflow.

The recommendation does not rank vendor accuracy percentages. Document extraction, bank matching and financial-statement review involve different inputs and definitions of success. A percentage without the same task and evaluation conditions would create a comparison the evidence cannot support.

Capture Receipts and Bills

Buy capture software when finding and preparing the paperwork is the bottleneck. If the documents already arrive correctly in your ledger, investigate the later bookkeeping work before paying for another capture layer.

1. Dext: Best for Pre-Accounting on QuickBooks or Xero

Dext is a document-capture and pre-accounting tool for businesses that want cleaner receipts and bills flowing into the ledger they already use. A contractor collecting purchase receipts, an agency forwarding supplier invoices and a bookkeeper chasing missing paperwork all fit its core job. Dext prepares the evidence and coding; it is not the replacement for QuickBooks or Xero, or the person responsible for your final accounts.

Dext public business pricing page showing its scalable document and user plan
Dext

Dext's QuickBooks integration describes reading receipts and supplier bills, coding them against the existing chart of accounts and sending them through ready to reconcile. Its Xero integration also works with Xero's account structure and tracking categories. This is the relevant ledger fit: retain the accounting system and improve what enters it.

AI Assist adds learned suggestions to that preparation. In Dext's words, “Every suggestion comes with its reasoning.” It learns from category choices, supplier treatment and repeated corrections, and lets the user accept, refine or reject suggestions. Dext also describes an optional auto mode, so review settings deserve an explicit decision from the bookkeeper. Dext AI Assist

For a growing service business, the payoff is a cleaner conversation with the bookkeeper: the source document and proposed treatment arrive together. The important limit is equally concrete. If a supplier invoice covers different types of purchases, extracting the total is not enough; line-level preparation and accounting judgment may still be needed.

Best for: Receipt and bill collection before posting to QuickBooks Online or Xero.
Standout: Document preparation plus AI Assist suggestions that explain their reasoning.
Pricing: Dext Business starts at $31.50/month, or $25.21/month with $302.50 billed annually, excluding tax.
Free trial: 14 days, no card required.

The base business configuration includes 5 users and 250 documents per month, with 10 sheets of Bank Statement Extraction, 5 documents with Line Item Extraction and 5 Supplier Statement Extraction credits. Capacity scales through the calculator. At the document limit, uploads can continue but extraction stops until the next billing date or an upgrade. This is a usable operational boundary, not just a pricing footnote. Dext business pricing

The same pricing page lists these add-ons:

  • AI Assist: $10.5 per month until 31 Jan 2027.
  • Commerce Lite: From $7.50 per month.
  • Vault: Free up to 100MB; additional storage from $4 per month.
  • Line Item Extraction: From $20.50 per month, or pay-as-you-go from $0.50/document.
  • Supplier Statement Extraction: From $20.50 per month, or pay-as-you-go from $0.50/document.
  • Bank Statement Extraction: From $13.00 per month, or pay-as-you-go from $0.32/document.
  • Payments: Marked coming soon on the US page.

For bookkeepers buying across clients, Dext also lists Essentials and Advanced practice plans. At the public calculator's displayed 20-client setting, Essentials shows $17.70/client/month on an annual subscription billed monthly, or $20.35/client/month on a monthly subscription. Advanced shows $19.20 and $22.08, respectively. The page states a 10-client minimum and scales the quote with client count. Those practice rates are not the price for a standalone business. Dext practice pricing

The upside
What it does well
3 points

  • Keeps QuickBooks or Xero as the accounting record.
  • Brings source documents and proposed coding into the same preparation workflow.
  • Offers a visible document allowance and separate extraction add-ons.
The downside
Where it falls short
3 points

  • Adds a subscription alongside the ledger.
  • AI Assist and heavier extraction can add to the base fee.
  • Hitting the document allowance pauses extraction even if uploads continue.

For the receipt-capture job, make the handoff concrete before enabling broad automation:

  1. Agree where documents enter

Choose the collection method employees will consistently use, such as forwarding supplier bills or submitting receipt photos. Keep one agreed route for each document type so the bookkeeper knows where missing evidence should arrive.

  2. Connect the existing ledger and preserve its account structure

Have the bookkeeper own the connection to QuickBooks Online or Xero and the account mapping. Dext's value is preparing records for the existing books; creating a competing set of categories defeats that purpose.

  3. Decide which suggestions require approval

Use Dext's explanations to agree the treatment of recurring suppliers. Leave unusual purchases with a reviewer, and make any move to auto mode a deliberate choice.

  4. Assign the final accounting handoff

Name who publishes prepared items, who resolves missing documents and who signs off on the month. A captured receipt should end in a ledger record the accountant can understand.

Categorise and Reconcile in Your Existing Ledger

Check the native features before adding an automation subscription. When the books already live in QuickBooks Online or Xero, the cheapest useful improvement may be a plan feature or better use of the existing workflow. An add-on earns its place when a clearly defined daily task still remains.

2. QuickBooks Online: Best for Businesses Already Keeping Books in QuickBooks

QuickBooks Online is the first place to look when your accountant already maintains your books there. Its AI features operate inside the ledger, reducing the need to move accounting data to a separate system. The buying decision is the plan that includes the work you need, because “QuickBooks has AI” does not mean every tier performs the same tasks.

QuickBooks Online US pricing page with Free, Simple Start, Essentials, Plus and Advanced plans
QuickBooks Online

The pricing page describes automated bookkeeping that learns how income and expenses are categorised, then matches and records transactions. Simple Start lists AI Chat for insights with a limited-capacity beta label. Essentials introduces Accounting AI cleanup. Plus explicitly says “Reconciles your books” and lists automatic categorisation with verification, profit-and-loss insights and conversational scenario planning. The page's categorisation-autopilot description is labelled available in Plus and Advanced. QuickBooks Online pricing and AI features

For an owner whose bookkeeper already handles exceptions efficiently, staying here can avoid an extra integration and another subscription. For an owner who wants somebody else to finish the books, however, software features alone do not assign that responsibility. Decide who reviews unresolved items before assuming an upgrade removes the bookkeeping job.

Best for: Businesses whose working ledger and accountant are already in QuickBooks Online.
Standout: Native accounting automation and financial questions inside the same system.
Pricing: Free $0/month; paid plans from Simple Start at $38/month before offers.
Free trial: A 30-day trial option for paid plans; the page also offers introductory discounts.

Every public core tier on the US page is listed here, with the ongoing price first:

  • Free: $0/month. It allows 1 user, 1 bank connection and 2 invoices per month, with an exception for qualifying users who enable QuickBooks Payments. It explicitly has no accountant access.
  • Simple Start: $38/month, displayed at $19/month for the first 3 months; 1 user and access for 2 accountants.
  • Essentials: $85/month, displayed at $42.50/month for the first 3 months; 3 users and access for 2 accountants.
  • Plus: $140/month, displayed at $70/month for the first 3 months; 5 users and access for 2 accountants.
  • Advanced: $340/month, displayed at $170/month for the first 3 months; 25 users.

These are the standalone accounting plans, not payroll or payment-service bundles. The promotional offer is 50% off for 3 months; use the ongoing fee when comparing the long-term cost. Current QuickBooks US plans

The Free plan's accountant-access restriction is a stronger buying signal than its price. If the intended workflow is shared bookkeeping with an accountant, Free does not provide that collaboration path. Similarly, a Simple Start subscription should not be treated as a promise of the richer reconciliation functions advertised on Plus.

The upside
What it does well
3 points

  • Keeps the official books and automation in the same system.
  • The pricing page identifies where cleanup, reconciliation and other AI functions enter the range.
  • Paid plans provide an accountant collaboration path.
The downside
Where it falls short
3 points

  • The Free plan has no accountant access.
  • More extensive automation is attached to higher-priced plans.
  • Some AI chat and workflow features are labelled beta or limited capacity.

3. Xero: Best for Native Reconciliation in an Existing Xero Business

Xero is the sensible first choice for a business already using Xero that wants less daily matching work. Its AI finance partner, JAX, works inside the Xero ledger. Document capture, automatic reconciliation and financial chat address different jobs, and their pricing should be checked separately.

Xero US page describing its native AI accounting features
Xero

Xero's support description says JAX can “categorise and match bank statement lines as they arrive” when confidence is high. If it is not confident, the statement line remains for a person to review. The same documentation names an important limit: automatic reconciliation only processes statement lines imported after activation; it does not automatically clear the old backlog. Xero automatic reconciliation documentation

That makes it a useful fit for an agency or local-service business with recurring, well-understood transactions and a bookkeeper who reviews exceptions. It is less useful as the sole answer to months of unresolved historical entries. The forward-looking automation and the catch-up assignment are separate work.

Best for: Businesses staying on Xero and reducing routine bank-feed work.
Standout: Native automatic matching with uncertain transactions left for review.
Pricing: Early $27/month; Growing $59/month; Established $97/month, excluding applicable taxes.
Free trial: The US page advertises a separate “Get one month free” offer; check its terms rather than assuming it combines with the discount.

The current US pricing page states:

  • Early: $27/month, or $5.40/month for the first 3 months under the displayed offer. It includes 20 invoices and 5 bills. Automatic reconciliation is an optional $5.00/month add-on.
  • Growing: $59/month, or $11.80/month for the first 3 months. Automatic reconciliation is included, alongside broader billing and reporting functions.
  • Established: $97/month, or $19.40/month for the first 3 months. It adds capabilities including multiple currencies, project tracking and employee expenses.

All three list Smart Document Capture. The 80% introductory discount is for eligible new US customers buying their first organisation; it does not cover add-ons, usage or payment fees. Xero also lists optional Payroll, powered by Gusto, at $36/month plus $6 per employee/contractor. Inventory Plus is optional on Growing and Established, with no dollar price shown in that comparison grid. Xero US pricing

A small business should choose Early because the transaction workflow fits its limits, not just because its starting price is attractive. Xero notes that approving and sending invoices count toward the Early invoice cap, and transactions from connected app partners can contribute too. Adding capture software does not remove the ledger's own limits.

For questions about the numbers, JAX chat is currently available without an additional charge to Xero subscribers and follows their existing permissions. Xero describes financial questions, charts and tables, plus help with tasks such as invoices and quotes. That is distinct from the separately priced automatic-reconciliation feature on Early. JAX chat availability

The upside
What it does well
3 points

  • Automatic reconciliation stays inside the Xero ledger.
  • Smart Document Capture is listed across the US plans.
  • JAX chat currently adds financial questions without a separate chat subscription.
The downside
Where it falls short
3 points

  • Early has invoice and bill limits, and automatic reconciliation costs extra.
  • Automatic reconciliation does not clear statement lines already present before activation.
  • Plan names differ by country, so a global help page is not a US price list.

4. Booke AI: Best for Additional Daily Automation on QuickBooks or Xero

Booke AI is an overlay for businesses and bookkeepers who want more daily bank-feed processing while retaining QuickBooks Online or Xero. The product is software, with your team reviewing exceptions. It is a closer fit for recurring categorisation and document matching than for hiring someone to take full responsibility for the accounts.

Booke AI public page describing bank-feed automation inside QuickBooks Online and Xero
Booke AI

Booke's pricing page describes the handoff as “you review exceptions.” Its published scope includes daily categorisation, matching documents, requesting missing evidence, custom thresholds and rules, and an audit trail. OCR, the conversion of document images into readable data, covers bills, invoices and receipts. Booke AI pricing and inclusions

Its current product description is explicit about the connection: QuickBooks Online or Xero remains the system of record, and the existing bank feed stays in place. Uncertain transactions go to your team with a proposed treatment and reasoning; missing expected documents can trigger a request. This is not a new ledger or an included team of accountants. Booke AI's workflow

Consider an established business whose bookkeeper spends the same part of every morning matching familiar payments and asking for receipts. Booke AI targets that recurring preparation. If the bank feed is already tidy and the delay is judgment over prepaid expenses or unresolved balances, another categorisation tool is less likely to be the answer.

Best for: Extra bank-feed automation on an existing QuickBooks Online or Xero ledger.
Standout: Daily processing with document requests and exception review.
Pricing: AI Bookkeeper (Business) is $129 per business/month, or $116 per business/month billed annually.
Free trial: No free trial is advertised on the public pricing page.

There are two published offers: AI Bookkeeper (Business) at those rates, and AI Bookkeeper (Accounting Firms) with pricing by request. The firm offer adds multi-client management, a white-label client experience and priority onboarding. Pricing is per business, so adding another company's books changes the subscription; it is not a flat fee for an unlimited portfolio. Booke AI plans

The comparison to make is the remaining work after native QuickBooks or Xero automation. If your current ledger already performs the matching you need, Booke's fee is another operating expense. If missing-document requests and daily exception preparation remain a substantial burden, the overlay has a clearer role. Ask for the scope of the work, not a blanket promise that “reconciliation is automated.”

The upside
What it does well
3 points

  • Keeps the existing QuickBooks Online or Xero books and bank feeds.
  • Combines categorisation, document matching and missing-document requests.
  • Publishes both monthly and annual business prices.
The downside
Where it falls short
3 points

  • The ledger subscription is still required.
  • Human review remains your team's responsibility.
  • Accounting-firm pricing requires a quote; no public trial offer is shown.

Close the Month: Software or an Accountable Team

Choose between better close software and someone taking ownership of the work. A founder can buy excellent automation and still have no person responsible for unresolved balances, adjustments and the final review. Digits and Zeni address that problem through different models.

A payment receipt beside an accountant review stamp and ledger dividers for expense, prepayment and transfer
A matched payment can still need accounting judgment before the period is closed.

A payment might be a current expense, an advance payment for future service, or a transfer between accounts. The bank movement can be correctly matched in each case while the accounting treatment differs. This is why an accountant's sign-off remains part of the workflow even when the daily processing is automated.

5. Digits Accounting Software: Best for Businesses Willing to Move Their Ledger

Digits is an accounting ledger with AI bookkeeping built into it, making it a candidate for a business willing to move its books. Its pitch is broader than adding receipt capture to QuickBooks or Xero. The cost of the decision therefore includes migration work and the accountant's ability to operate in the new system, not just the subscription.

Digits pricing page showing Essentials, Core and the coming-soon Pro plan
Digits

Digits calls its core function “24/7 AI Bookkeeping & Reconciliation.” The pricing page describes continuous categorisation, financial statements, quality checks and close preparation. It also distinguishes software from professional services by directing customers to separate accounting partners for full-service accounting, CFO work and tax support. Digits pricing and service boundaries

For a founder starting with a simple US business, bringing the ledger and automation together may be attractive. For an established company with a bookkeeper, historical records and connected workflows already in Xero, the migration decision is more substantial. A lower-looking subscription does not establish that the move reduces total work.

Best for: US businesses choosing a new ledger around automated bookkeeping and reporting.
Standout: Daily bookkeeping, reconciliation and financial questions built around the same accounting record.
Pricing: Essentials $65/month; Core $100/month; Pro $250/month, marked coming soon.
Free trial: 30 days.

The public tiers are:

  • Essentials, $65/month: Core ledger, AI bookkeeping and reconciliation, financial statements, document storage, invoicing, bill pay and quality checks.
  • Core, $100/month: Adds dimensional accounting, which separates reporting by areas such as department or location, and automated schedules for entries that span periods.
  • Pro, $250/month: Lists custom reporting, custom dashboards and budget-versus-actual reporting, but is explicitly Coming soon. Do not plan a current implementation around that tier being available.

The detailed comparison marks custom reports and dashboards on the lower plans as available through firm partners. The Accounting Partner Program also lists Free Firm Books, exclusive client plans and discounts, without a universal dollar rate for the partner plans. Each business or location needs its own subscription, and Digits currently supports US-based entities. Payment-service charges are separate. Digits plan details

Ledger connection: Digits' setup documentation describes importing from QuickBooks during initial setup. For Xero and other platforms, it describes importing a chart of accounts and transaction data using files; its migration page says there is no direct Xero sync. Treat this as a migration path, not a promise that Digits will continuously write back to an existing Xero ledger. Digits setup methods, Xero-to-Digits migration

The practical plan decision is between Essentials and Core for currently available needs. A business with schedule-based accounting or departmental reporting should inspect Core's inclusions. A business that primarily wants a conversational explanation of existing QuickBooks figures should first consider the tools inside QuickBooks, before undertaking a ledger move.

The upside
What it does well
3 points

  • Holds the ledger, automation and financial reporting together.
  • Core explicitly adds schedules and dimensional accounting.
  • Separates software from optional professional accounting services.
The downside
Where it falls short
3 points

  • Moving an existing business requires an accounting migration.
  • Pro is priced publicly but marked coming soon.
  • US-only availability and a subscription per business limit who it fits.

6. Zeni: Best for Founders Who Want a Finance Team Alongside the Software

Zeni combines AI bookkeeping with a dedicated finance team, which makes it the closest fit here for a founder buying ownership of the work. Its published bookkeeping packages are service packages, not a cheap ledger subscription. The decisive integration requirement is QuickBooks Online Plus.

Zeni public bookkeeping packages page with Starter, Growth and Enterprise offers
Zeni

Zeni describes its AI Accountant as “Books Categorized, Reconciled, and Closed.” The product page names transaction categorisation, reconciliation, audit checks, receipt matching, vendor verification and bill preparation. Those are the maker's capability claims, not independently measured results from this comparison. Zeni AI Accountant

The bookkeeping-package page pairs automation with dedicated finance experts who handle needs the AI cannot resolve. For a funded founder who keeps postponing bookkeeping because nobody owns it, that human component can matter more than another automation feature. Agree who prepares the close, who resolves questions and who signs off; the existence of a dashboard does not define the service handoff.

Best for: Founders who want ongoing bookkeeping support rather than more software to operate themselves.
Standout: AI-assisted daily processing bundled with a dedicated finance team.
Pricing: Starter from $494/month billed annually; Growth from $719/month billed annually; Enterprise custom.
Free trial: No self-serve trial advertised; the public route is a demo.

The full published AI Bookkeeping range is:

  • Starter: From $494/month billed annually, for pre-revenue companies. The monthly-payment switch shows $549/month with the label Annual Contract.
  • Growth: From $719/month billed annually, for revenue-generating companies. The monthly-payment switch shows $799/month, also labelled Annual Contract.
  • Enterprise: Custom Pricing, for complex companies.

Zeni says the quote depends on bookkeeping complexity, monthly expenses and annual revenue. A starting price is therefore not an unconditional quote for any business. Monthly payment also should not be read as a month-to-month commitment when the page explicitly states an annual contract. Zeni bookkeeping packages

The same page separately lists CFO Starter from $1,350/month plus a $2,000 setup fee, CFO Growth from $2,610/month plus a $6,000 setup fee, and CFO Enterprise at custom pricing. Those displayed CFO rates are under its annual option; the page shows $1,500 and $2,900 before that discount. It also lists Tax Starter at $2,499 annually, Tax Growth at $3,899 annually, Tax Enterprise at custom pricing, and Payroll Manager Service from $199/month on an annual contract. Additional tax and payroll tasks have their own fees. Do not treat these service families as included in the base bookkeeping price.

Ledger connection: Zeni's pricing FAQ says it syncs exclusively with QuickBooks Online Plus and can help migrate businesses that do not already use it. Get the ledger subscription, migration, catch-up work and recurring service scope itemised in the proposal. The public package description does not justify assuming that every ancillary cost is included.

For an owner already happy with an independent bookkeeper, Dext or the ledger's native automation may be a smaller, more targeted improvement. Zeni becomes more compelling when the missing resource is an accountable finance function. Buy the service relationship consciously, including its contract term and division of responsibility.

The upside
What it does well
3 points

  • The bookkeeping packages include dedicated human finance support.
  • Public starting prices distinguish pre-revenue, revenue and complex businesses.
  • AI preparation and expert involvement are presented together.
The downside
Where it falls short
3 points

  • The documented ledger is QuickBooks Online Plus, not Xero.
  • Monthly-payment bookkeeping prices still carry an annual-contract label.
  • CFO, tax and payroll services have separate pricing.

Move Supplier Invoices Through Approval

A business with complicated supplier approvals needs accounts-payable automation, not just receipt capture. Accounts payable, or AP, is the money owed to suppliers and the workflow for approving and paying it. Its bottleneck can sit between the invoice, the purchase order and the person authorised to approve the spend.

7. Vic.ai: Best for an AP Team With Complex Invoice Work

Vic.ai is an AP automation specialist for businesses whose supplier invoice process has become a substantial operation. It is the relevant candidate when coding, purchase-order matching and approval routing create the delay. It is a poor default for a small owner-operated business simply trying to organise receipts or understand its profit.

Vic.ai APSuite public page showing invoice processing, purchase-order matching and approval workflows
Vic.ai

Vic.ai's integration page calls one function “AI-powered coding”: classifying invoices, applying general-ledger codes and matching purchase orders within tolerance levels. Its AP product page also describes document extraction, discrepancy detection and invoice routing to approvers. A purchase order records what the business authorised before the supplier's bill arrived; matching those records tackles a different problem from categorising a card transaction. Vic.ai AP capabilities, ERP integrations

For a distributor with purchasing and finance staff, the useful question is whether invoices reach the correct approval route with the supporting records attached. Faster extraction alone does not solve an approval bottleneck. Vic.ai's published scope is more relevant when the company already has that structured purchasing process and wants to automate its repetitive parts.

Best for: AP teams handling invoice coding, purchase-order matching and approval workflows.
Standout: Automation across the supplier-invoice process, with posting back to the accounting system.
Pricing: No public numerical subscription price or named pricing tiers; request a quote.
Free trial: No public trial advertised; discovery meeting and demo offered.

The public pricing path leads to a Vic.ai discovery/demo page, without a dollar starting price. A quote-only product cannot be placed honestly into a cheapest-to-most-expensive ranking. Ask for the covered modules, implementation work, ongoing support, usage basis and connection costs to be stated in the proposal. Those are buying questions, not claims that a particular fee is charged.

Ledger connection: Vic.ai's integration page names ERP families including Oracle, Microsoft, Sage, Coupa, Workday and Vista, and describes an open API for other connections. ERP means the wider business system that can include accounting and purchasing. There is also a specific QuickBooks Online connection guide, which describes vendor-assisted authorisation and training on historical data.

For Xero, the documentation checked here does not establish a ready-made connector. A sales form that lets you select an accounting system is not proof of a supported live integration. Have the precise Xero connection method and scope confirmed before shortlisting Vic.ai for that ledger.

The upside
What it does well
3 points

  • Targets invoice coding, matching and approvals as a connected AP job.
  • Documents posting approved invoices back to the accounting system with an audit trail.
  • Publishes ERP integration information and a QuickBooks Online setup guide.
The downside
Where it falls short
3 points

  • No public price or tier schedule to budget from independently.
  • The scope is AP, not a replacement for the whole bookkeeping and close function.
  • A Xero connection needs specific confirmation rather than an assumption.

Choose an AI Accounting App That Can Explain the Numbers

Ask questions inside the system holding the relevant books. QuickBooks' Intuit Intelligence chat, Xero's JAX and Ask Digits are useful candidates because their makers describe access to accounting context. Moving to a new ledger solely to gain a chat box is a much larger decision than using an existing ledger's question-answering feature.

QuickBooks lists AI Chat with a limited-capacity beta label. JAX currently provides financial questions and visualisations within existing user permissions, without an additional chat charge. Ask Digits describes conversational analysis and explanations of the business's financial data; Digits' pricing FAQ says it is included in every plan.

For an owner, useful questions begin with a decision: why did operating expenses change, which customers still owe money, or what does the current cash position imply for a planned hire? Then check the date range, accounting basis and underlying transactions. A clear answer can still be based on incomplete books.

An unexplained supplier bill should go back to the bookkeeping workflow, not be explained away by a fluent answer. Better financial questions are the payoff from better records; they do not substitute for completing those records.

Best AI Bookkeeping Software: Who Should Pick What

Choose the smallest change that removes the work you cannot keep up with. The right product changes when the bottleneck changes.

Already on QuickBooks Online: inspect the existing plan first. Simple Start, Essentials and Plus advertise different accounting capabilities. Keep the ledger and add Dext if receipts and supplier documents are the missing input. Consider Booke AI when additional daily processing and document requests would remove recurring work that native features still leave behind.

Already on Xero: begin with Smart Document Capture, JAX chat and the reconciliation features available on the chosen plan. Early's optional auto-reconciliation add-on is a different purchase from upgrading to Growing for its broader scope. Dext or Booke AI should have a distinct job before either is added.

Choosing a ledger for a US business: compare Digits' available Essentials and Core plans with QuickBooks and Xero in the context of the accountant's workflow. Decide how opening balances, historical documents and connected business systems will move. A software preference is not yet a migration plan.

Want the work owned by a provider: Zeni's service packages are the relevant comparison, provided QuickBooks Online Plus and the contract terms fit. An independent accountant plus the existing ledger may also meet that need. The decision is who owns the work, not who has the more ambitious AI name.

Have a purchasing and AP operation: put Vic.ai on the specialist shortlist. Require a proposal for the actual invoice, purchase-order and approval process. Its breadth becomes relevant because the workflow demands it, not because every small business needs enterprise-style AP.

The Ones to Avoid for the Wrong Job

Avoid a mismatch between the promise you want and the job the product sells. These are specific reasons to skip a tool in a particular situation, not a claim that the tool is generally bad.

Skip QuickBooks Free for a shared accountant workflow. Its current page explicitly excludes accountant access. The free price does not solve that requirement.

Skip Dext as the answer to an unowned close. It can improve the evidence entering QuickBooks or Xero, but somebody still has to resolve the books. Missing ownership is not a receipt-scanning problem.

Skip Booke AI if native automation already removes the daily processing burden. An additional categorisation subscription needs a remaining job large enough to justify it.

Skip Digits Pro as a current procurement choice while it is marked coming soon. Also skip a ledger migration when all you wanted was better receipt collection.

Skip Zeni if keeping Xero is non-negotiable. Its documented package connection is QuickBooks Online Plus. Choose it with awareness of that dependency and the annual-contract wording.

Skip Vic.ai for a lightweight receipt or general financial-chat need. Its published AP scope and quote process fit a more structured supplier workflow.

Questions Before You Buy

Can I keep QuickBooks Online or Xero?

Yes. Dext and Booke AI work on top of QuickBooks Online or Xero, and both ledgers offer native automation. Zeni's published bookkeeping packages use QuickBooks Online Plus. Digits is a separate ledger with migration paths. Vic.ai connects to accounting systems for AP, but the exact connector must be checked for your setup.

Does an accountant still need to sign off on the books?

Yes, in the workflow recommended here. AI can prepare documents, code transactions, match records and flag exceptions. The accountant still reviews unresolved items and accounting treatments before signing off on the books. A software subscription should not be confused with an included professional review service.

Does automatic reconciliation mean the month is closed?

No. Matching a bank transaction does not settle every accounting question or prove that all records are complete. Missing bills, transfers, prepaid expenses and other adjustments can still require attention. Buy close software or a bookkeeping service when those are the unfinished jobs.

Is Dext AI Assist included in the base business price?

The current US business pricing page lists AI Assist separately at $10.5 per month until 31 Jan 2027. Price the base document-and-user configuration and the add-on separately; practice subscriptions use their own pricing structure.
