CallRail pricing starts at $55 per month, or $50 per month with annual billing, but its entry bundle includes only 5 local numbers and 250 minutes. The worked monthly subtotals below are $79.75 for one location, $432 for five locations with forms and premium AI, and $832.50 for an agency with five separately billed clients.

CallRail connects incoming calls to the marketing that produced them, then records and analyzes those conversations. A local-business owner buys visibility into which ads produce calls; a marketing lead buys evidence for budget decisions; an agency buys reporting across clients. Your choice turns on four things: the number of tracking numbers, rounded call minutes, whether you need forms, and whether you need premium conversation analysis.

CallRail Pricing Plans: Monthly and Annual

The four main bundles cost $55, $105, $165 and $215 per month on monthly billing. The page opens with Yearly selected, displaying $50, $95, $150 and $195 per month instead. Those are annual-billed equivalents, with the annual base paid upfront. CallRail pricing.

The same page's See all Lead Tracking plans menu also lists additional calling-volume options. Its columns have no distinct plan names, so the rows below identify them by their included usage. These are separate quoted options, not extra allowances automatically attached to a Complete or Conversion bundle.

For a plumbing business that wants to identify which campaign made the phone ring, Lead Tracking is the starting point. It includes call and text attribution, recording, routing, transcription and automation rules. Lead Tracking Complete adds form attribution, a custom form builder and multi-touch cost-per-lead reporting, which connects a lead's marketing interactions to its acquisition cost. Choose Lead Conversion when the decision depends on what happened during calls. Its summaries, sentiment analysis, conversation trends and automatic conversion tagging help a marketing lead review lead handling alongside attribution. Choose Lead Conversion Complete when that job also includes website forms. A higher main bundle changes these features while retaining the same five-number, 250-call-minute allowance.

Extra Numbers, Minutes and Texts

For the four main bundles, every extra local number costs $3 and every extra local minute costs $0.06, including transcription. The other visible rates are $5 per toll-free number, $0.08 per toll-free minute and $0.03 per SMS beyond the included 25. Budget tracking numbers by the campaigns and website traffic you need to distinguish. A website number pool is a group of numbers swapped between visitors so a call can be tied to its source. Your existing business phone line and your tracking-number inventory are different inputs: the published number allowance covers the tracking numbers you use. CallRail's support describes this as dynamic number insertion.

Use billable minutes, not the raw sum of call durations. CallRail rounds each call up to a whole minute before adding them together. A short call can therefore consume a full minute. Its invoices also include every tracking number active at any point during the billing cycle, so deleting a number near the end of the month does not erase that month's use. When a calling-volume option costs less

The $75 volume option beats the $55 entry option from 584 whole billable minutes, holding five or fewer local numbers and other charges equal. The entry plan costs $55 plus $0.06 for each minute beyond 250; the $75 option includes 750 minutes. At 750 minutes, that is $85 versus $75. This is a calling-cost comparison, so confirm the quoted AI features before switching. Expanded volume pricing.

The expanded menu publishes its own overages. In order of the 250-, 750-, 1,000- and 4,000-minute options, extra local numbers cost $3, $3, $2.50 and $1.75, while extra local minutes cost $0.06, $0.06, $0.05 and $0.045. The same menu prints toll-free minutes at $0.09, $0.09, $0.65 and $0.65. The last two are the figures as printed, and differ substantially from the main bundles' $0.08 rate. Confirm that specific toll-free rate in a written quote before choosing a volume option. Substituting an assumed decimal would produce an unsupported bill.

Transcription, Call Summaries and Conversation Intelligence

Basic transcription is included in the main bundles; AI call summaries require Premium Conversation Intelligence. A transcript is the conversation written out. A summary condenses what happened, while sentiment and conversion analysis add judgments about the conversation and its outcome. CallRail explicitly requires Premium Conversation Intelligence for call summaries.

For the main bundles, premium analysis comes with Lead Conversion or Lead Conversion Complete. The premium upgrade costs an additional $110 per month over the corresponding Tracking bundle: $165 versus $55, or $215 versus $105. For an operator reviewing calls across several branches, that increment needs to earn its place through better follow-up or less manual review. Call volume alone is a reason to examine a volume quote, not proof that you need premium analysis.

The main comparison's 10,000 analysis minutes are not 10,000 included calling minutes. Your local calling allowance remains 250 minutes. A month with 12,000 analyzed minutes creates $100 in analysis overage, calculated as 2,000 × $0.05, alongside any local calling overage. The separately listed Intelligence packages

CallRail also publishes two Intelligence packages that must be purchased with a Call Tracking plan. Intelligence costs $50/month, or $45/month with yearly billing, includes 7,500 transcription minutes monthly and charges $0.02 per extra transcription minute. Premium Intelligence costs $95/month, or $85/month with yearly billing, includes 10,000 transcription minutes monthly and charges $0.04 per extra transcription minute. That menu reserves summaries, self-reported attribution, sentiment analysis, Conversion Signals and multi-conversation insights for Premium Intelligence. Its transcription allowances describe audio processed into text. They do not increase the base plan's calling allowance or replace the main Conversion bundle's separately labeled analysis allowance.

Use the rate schedule attached to the package you are purchasing. Do not add a separate transcription charge to the worked main-bundle bills below: the visible main comparison labels their local-minute rate as including transcription. Buying a separately quoted Intelligence package is a different billing arrangement.

Call recording must be enabled for transcription. An agency that wants to retrieve transcripts programmatically should also check its tier: CallRail restricts the transcripts API endpoint to Premium Conversation Intelligence customers. AI feature requirements.

Three Worked Monthly Bills

These examples use the four main bundles and their visible rates. All numbers are hypothetical usage inputs. They assume full monthly billing cycles, local calls, incoming SMS and no toll-free usage, Voice Assist, paid API tier, premium integrations, paid branding or advanced callflow add-ons. Taxes, applicable surcharges and outgoing-text registration fees are excluded. Single-location business: $79.75 per month

Lead Tracking costs $79.75 for this single-location budget. Assume eight local tracking numbers, 500 billable minutes and 50 incoming texts. For the cost-per-call illustration, those minutes come from 100 calls using five billable minutes each.

  • Base subscription: $55.
  • Three extra numbers: 3 × $3 = $9.
  • 250 extra local minutes: 250 × $0.06 = $15.
  • 25 extra SMS: 25 × $0.03 = $0.75.
  • Total: $79.75/month, or about $0.80 per tracked call.

The annual base would be $600 upfront, with the same $24.75 monthly usage subtotal, for an effective $74.75 per month at unchanged usage. Lead Tracking fits a business whose immediate question is which campaign produces inquiries. Add the Complete bundle when form attribution becomes necessary; summaries require a Conversion bundle or a separately quoted premium package.

Five-location business: $432 per month

Lead Conversion Complete costs $432 for a five-location business that needs forms and premium AI. Assume 20 local numbers, 3,000 billable minutes, 125 incoming SMS, 1,200 forms and 3,000 analysis minutes. The call-cost illustration assumes 600 calls using five billable minutes each.

  • Base subscription: $215.
  • Fifteen extra numbers: 15 × $3 = $45.
  • 2,750 extra local minutes: 2,750 × $0.06 = $165.
  • 100 extra SMS: 100 × $0.03 = $3.
  • 200 extra forms: 200 × $0.02 = $4.
  • Analysis overage: $0, because 3,000 is within the 10,000 allowance.
  • Total: $432/month, or $86.40 per location and $0.72 per tracked call.

The annual base is $2,340 upfront; the unchanged usage subtotal is $217 per month, producing an effective $412 monthly cost. This business buys premium analysis to review conversations across branches. If it only needs attribution and forms, removing that premium feature layer saves $110 per month on the main bundle. Request a volume quote too, because local minutes are the largest usage charge here.

Agency with five clients: $832.50 per month

Five separately subscribed Lead Tracking Complete accounts cost $832.50 in this example. Each client uses 10 local numbers, 1,000 billable minutes, 75 incoming SMS and 800 forms. Each account has its own included allowance.

For each client, the bill is $105 base + $15 extra numbers + $45 extra minutes + $1.50 extra SMS = $166.50. Forms remain within the 1,000 allowance. Five accounts multiply that subtotal to $832.50. The annual-billed equivalent is $782.50 per month at unchanged usage, with five $1,140 annual bases paid upfront.

CallRail's agency FAQ describes Account Center managing separately subscribed client accounts. That boundary matters: you cannot reuse one client's unused allowance in another subscribed account's bill.

Putting the same aggregate usage inside one standard account changes the calculation to $595.50. That is $105 base, $135 for 45 extra numbers, $285 for 4,750 extra minutes, $10.50 for 350 extra SMS and $60 for 3,000 extra forms. The budget difference is $237 per month.

CallRail permits unlimited users and companies within a standard account, and invoices cover usage for the entire account. A shared account and separately subscribed client accounts have different ownership and administration implications. Choose the arrangement that fits your client agreements, then price it. Voice Assist and Other Add-ons

Voice Assist's $95/month headline requires an additional Lead Tracking subscription starting at $55. The starting combined base is therefore $150/month, before telephony usage or extra answered calls. Voice Assist answers calls and captures caller information when staff are unavailable; it addresses missed-call intake rather than analyzing a conversation after your staff answers. The visible footnote includes 50 Voice Assist calls lasting over 15 seconds, then charges $1 per additional qualifying call. At 75 qualifying calls, the add-on is $95 + $25 = $120; with the $55 base, that is $175 before other usage. The pricing page does not publish a distinct annual Voice Assist rate.

The expanded Lead Tracking menu lists white label at $65/month, advanced callflows at $15/month per company, and premium integrations at $80/month. White label means presenting the software under your agency's branding. An agency requiring those features should add the quoted fees to its subscription-and-usage budget. Optional feature prices.

For outbound texting, include registration in the budget too. CallRail's support lists a $1.50 monthly registration fee, based on outgoing volume, once registration is confirmed. The worked examples use incoming texts and omit that fee. Text messaging registration.

CallRail API: The Extra Integration Bill

API access is included, but high request volume creates another monthly charge. An API request is a software system asking CallRail for data or sending it an instruction. The maker's tiers are:

  • 0 to 1,500 requests/month: no API charge.
  • 1,501 to 12,000: $80/month.
  • 12,001 to 300,000: $200/month.

CallRail bills the appropriate tier for that month's usage. Its support says these charges apply to API-key requests outside CallRail-developed integrations; native integrations accessed within CallRail are excluded from that activity. Annual Billing and the Free Trial

Annual billing reduces the base fee while leaving usage charges monthly. Across the four main bundles, the annual base savings versus 12 monthly payments are $60, $120, $180 and $240. Those savings do not discount the extra minutes or numbers in the worked bills. Published billing settings.

Annual plans are nonrefundable. CallRail's support says you cannot change to monthly billing or cancel until the annual period ends, while add-ons continue to be billed monthly. The free trial lasts 14 days and requires no credit card to start. There is no permanent free plan advertised on the pricing page. Regular SMS becomes available after the trial, although support describes a free test message you can send during onboarding. A usage credit is money deducted from eligible usage, not a second subscription discount. WhatConverts' support says it covers numbers, incoming minutes, incoming texts and other tracked leads, while separately charged features include transcription. Credit accounting.

For the single-location example above, WhatConverts Call Tracking totals $54 with all calls transcribed. Eight numbers cost $20; 500 minutes cost $22.50; 50 incoming texts cost $1.50. Deduct the $30 credit from that $44 usage subtotal, add the $30 subscription, then add $10 for 500 transcription minutes. That is $25.75 below CallRail's $79.75. A business that only needs that tracking-and-transcription job has a concrete reason to choose WhatConverts.

Forms can reverse the price decision

CallRail's included forms become valuable as form volume grows. Keep the single-location example's eight numbers, 500 minutes, 50 incoming SMS and full transcription, and add form tracking. CallRail Lead Tracking Complete costs $129.75 while form volume remains within its 1,000 allowance. WhatConverts Plus costs $84 plus $0.10 per form for that same usage.

At 300 forms, WhatConverts is $114. At 500 forms, it is $134, compared with CallRail's $129.75. The first whole form count where CallRail becomes cheaper is 458, at which WhatConverts is $129.80. The same calling basket across two alternatives

For eight local numbers, 500 billable minutes and transcription of every minute, the monthly subtotals are CallRail $79, WhatConverts $52.50 and CallTrackingMetrics $125. Choose the Plan Before You Commit

Start with your actual billable usage and required features, then choose the billing term. A low base fee means little if the number pool, form volume or account structure changes the invoice.

  1. Count the billable inputs

    List active tracking numbers, rounded call minutes, texts and forms. Existing CallRail users can open Account, Account Settings, Billing and export a Company Summary from an invoice to see usage by company. Separate local calls from toll-free calls.

  2. Choose forms and premium AI independently

    Use the main Tracking bundle for attribution, Complete for forms, Conversion for premium analysis, and Conversion Complete for both. Ask for a volume quote when calling usage is substantial. Confirm whether the order uses the main bundle or an expanded-menu package.

  3. Add optional fees and choose the account boundary

    For an agency, decide which clients have separate subscriptions. Add any answering, branding, advanced routing, integrations, API and outgoing-text fees you need. Take an annual commitment after the expected usage and client ownership arrangement are clear.
