CloudTalk plans and AI costs verified October 2026. Five- and twenty-seat budgets, calling limits, annual commitments, Aircall and KrispCall.

CloudTalk Pricing starts at $19 per user per month with annual billing, but a team connected to its customer relationship management (CRM) system with AI transcripts, summaries and sentiment should budget $38 per user: Essential at $29 plus the $9 AI add-on. That is $190 a month equivalent for five people or $760 for twenty, before phone numbers, chargeable calling and taxes.
CloudTalk is a cloud phone system for handling sales and support calls through shared business numbers. Essential is the starting point for most teams that need their phone system connected to a CRM. Expert earns its higher price when Salesforce, included power dialing or live coaching is part of the daily job. Buying Expert alone does not include AI Conversation Intelligence.
Prices and plan entitlements were verified against CloudTalk's live pricing page on 2 October 2026, with USA selected and prices in US dollars. Aircall and KrispCall comparisons were checked against their own pricing pages on the same date. The budgets below are calculations from those published inputs, not results from a product trial.

CloudTalk Pricing: Plans at a Glance
CloudTalk currently displays Lite, Starter, Essential and Expert as fixed-price phone plans, with a separate route to a Custom quote. Annual prices are monthly equivalents of an advance-paid annual subscription. They are not month-to-month checkout prices.
The table uses the US calling offer. All four fixed-price cards advertise unlimited US and Canada calling, subject to fair usage, excluded destinations and the vendor's terms. They also advertise free internal and eligible inbound calls. There is no permanent free human-phone plan listed. The free offer is a trial, with a separate limited introductory allowance for AI Voice Agents. Nor does the page publish a maximum team size for the four fixed-price phone plans. A twenty-person team does not automatically need Custom.

Which CloudTalk phone plan should you buy?
Choose by the workflow that would otherwise fail, then count the seats. A small support operation can need Essential sooner than a larger team that only makes straightforward calls. Team size changes the bill; routing, CRM access and coaching change the tier.
Lite: Simple Calling Without a CRM Connection
CloudTalk Lite costs $19 per user per month annually or $27 monthly. It includes call recording, transfers, a visual call-flow builder and one ring group, which rings a defined group of people. Call queues and queue callback are unavailable, and standard CRM integrations require an upgrade. Source: CloudTalk pricing.
Lite fits a small office where callers can reach the available person and staff do not need automatic CRM logging. It is a poor starting point for support where customers regularly wait for an agent: the missing queue matters more than the lower seat price. Recording retention is one month, so it also demands a deliberate export process if you need a longer archive.
Starter: Queues Without Standard Integrations
CloudTalk Starter costs $25 annually or $34 monthly per user. Its useful step above Lite is ring groups, call queues and queue callback. Standard integrations still require an upgrade, and the plan card marks business-hours and advanced IVR routing unavailable. IVR is the phone menu that lets callers select a destination. Starter makes sense when managing waiting callers is the problem and agents can work without a connected CRM. Skip it if your buying requirement is automatic activity logging or routing by business hours. Essential's annual license is only $4 more per user, calculated from the published $29 and $25 prices. Saving that amount is difficult to defend if it creates manual admin after every call.
Essential: The Practical CRM Starting Point
CloudTalk Essential costs $29 annually or $39 monthly per user. It includes 95+ standard CRM, helpdesk and applicant-tracking integrations, APIs, workflows, webhooks, business-hours routing and IVR/skill/condition routing. For a support lead assigning calls by opening hours or a sales lead who needs call activity in the CRM, those are operating requirements rather than optional extras. Essential can be enough even as headcount grows. Add conversation intelligence when someone will use the transcripts and summaries, rather than paying for an unattended archive because the feature sounds modern.
Expert: Pay for Salesforce, Dialing and Live Coaching
CloudTalk Expert costs $49 annually or $69 monthly per user, with a three-license minimum. It adds Salesforce ecosystem integration, smart dialing, included preview/power dialing, live monitoring, custom dashboards and real-time analytics. Expert is the stronger fit for a Salesforce-based sales team or a support manager who needs to listen to calls and coach during them. Skip the upgrade if your agents use standard CRM integration and your manager only reviews calls afterward. The extra tier price pays for specific operating tools; it does not turn every AI feature into an included entitlement.
Custom: A Written Offer, Not a Published Fifth Price
CloudTalk Custom is available through the pricing page's custom-quote route. That page does not publish a fixed business-phone seat price or seat minimum for it. Ask for Custom when your required calling bundle, support arrangement or integration needs an explicit contract. For a founder buying for twenty users, the fixed plans remain the baseline against which to judge the quote. A salesperson's bundle only represents a saving when its included numbers, AI access and usage are written down.
What Five Seats and Twenty Seats Cost
Multiply the license by the paid seats, then add AI and usage separately. The base-license calculations below exclude number rental, chargeable calling, messaging, voice agents and taxes. Both example teams satisfy Expert's three-seat minimum. All inputs come from CloudTalk's pricing page.
Five Users: $145 Annual Equivalent for Essential, $190 With AI
For a five-person team, the four base-plan bills are:
- Lite: $135 with monthly billing, or $95 a month equivalent and $1,140 prepaid for the year.
- Starter: $170 with monthly billing, or $125 a month equivalent and $1,500 prepaid for the year.
- Essential: $195 with monthly billing, or $145 a month equivalent and $1,740 prepaid for the year.
- Expert: $345 with monthly billing, or $245 a month equivalent and $2,940 prepaid for the year.
If all five people need transcripts, summaries and sentiment, Essential plus AI is 5 × ($29 + $9) = $190 a month equivalent, or $2,280 a year. That is the more useful budget for a CRM-connected support team than the standalone Essential license.
For outbound sales, Essential plus Power Dialer plus AI is 5 × ($29 + $15 + $9) = $265 a month equivalent. Expert plus AI is 5 × ($49 + $9) = $290 a month equivalent, or $3,480 annually. The difference buys Expert's other features; AI itself is still the same extra seat charge.
If that Expert team also buys the separate $99 monthly receptionist entry bundle, its planned annual outlay becomes $3,480 + ($99 × 12) = $4,668, equivalent to $389 a month. That illustration assumes the same bundle remains available and is purchased each month. It is not a promise that $389 covers phone numbers, all calls or AI minutes beyond the included bundle.
Twenty Users: $580 Annual Equivalent for Essential, $760 With AI
For a twenty-person team, base licenses cost:
- Lite: $540 with monthly billing, or $380 a month equivalent and $4,560 prepaid annually.
- Starter: $680 with monthly billing, or $500 a month equivalent and $6,000 prepaid annually.
- Essential: $780 with monthly billing, or $580 a month equivalent and $6,960 prepaid annually.
- Expert: $1,380 with monthly billing, or $980 a month equivalent and $11,760 prepaid annually.
AI for every Essential user adds 20 × $9 = $180 a month equivalent. The combined license and Conversation Intelligence budget is $760 a month equivalent, or $9,120 annually. If all twenty also need Power Dialer, Essential plus both add-ons reaches $1,060 a month equivalent. Expert plus AI reaches $1,160 a month equivalent, or $13,920 annually.
A mixed sales/support operation should ask whether add-on licenses can be restricted to the people using them. If CloudTalk allows twenty Essential seats but only five users with both AI and Power Dialer, the conditional calculation is 20 × $29 + 5 × ($9 + $15) = $700 a month equivalent, or $8,400 annually. Treat that as a quote scenario, not a confirmed licensing entitlement. If every seat must carry the add-ons, the $1,060 figure applies instead.
At the smaller end, Expert's minimum means at least 3 × $49 = $147 a month equivalent annually, or 3 × $69 = $207 with monthly billing. Buying for fewer active callers does not remove the minimum paid seats.
The AI Features Worth Paying For
AI that reviews a human conversation and AI that answers the phone are separate purchases. Conversation Intelligence helps people document and review calls. Voice Agents perform the conversation themselves. A plan comparison that merges those jobs hides both the value and the charging model.
Transcription and Summaries: The $9 Review Layer
CloudTalk's AI Conversation Intelligence add-on costs $9 per user per month with annual billing. Its advertised features include searchable transcripts, summaries, AI notes, topic extraction, talk/listen ratio, customer sentiment, call scoring and PDF/CRM export. It is offered separately on every fixed-price tier, including Expert. The pricing page does not specify an AI transcription minute allowance. Source: CloudTalk pricing.
For a support agent, the useful outcome is a handoff another person can understand without replaying the whole call. For a sales manager, it is finding the objection and promised follow-up in the transcript. A summary earns its cost when it becomes part of a ticket or CRM activity, not merely another screen the agent must visit.
During the trial, compare the summary with the recorded conversation. Check names, numbers, promised actions and who owns the next step. Then verify that the result reaches the record where the next person works. This is a proposed acceptance test, not a claim about CloudTalk's accuracy. Sentiment: Use It to Choose Calls for Review
Customer sentiment is an advertised Conversation Intelligence feature, but it is not an independently verified customer satisfaction score. For a support lead, the defensible use is prioritizing calls to listen to, then checking the underlying conversation. For a sales lead, a negative label should prompt a review of the objection, not an automatic change to a deal's value.
Do not buy the add-on solely because a sentiment dashboard looks persuasive. Buy it if a named manager has a review process and agents can use the documentation. The price is clear; the improvement in your team's work still needs to be demonstrated during the trial.

AI Voice Agents: Budget Minutes, Not Human Seats
CloudTalk's detailed pricing matrix lists an AI Receptionist starting at $99 a month with 200 minutes and an AI Specialist starting at $349 a month with 1,000 minutes. The receptionist answers FAQs, routes calls and takes messages; the Specialist connects to systems to execute multi-step requests. At full use of the included allowance, the entry receptionist bundle works out to $99 ÷ 200 = $0.495 per included minute. The Specialist bundle works out to $349 ÷ 1,000 = $0.349 per included minute. These are calculated bundle averages, not overage prices, and the products perform different jobs. Unused allowance increases the effective cost of the minutes you consume.
A small support operation needing an after-hours message taker should price the receptionist first. A business wanting the agent to update an order, authenticate a caller or execute a workflow needs the Specialist's scope established before comparing rates. A cheaper minute attached to the wrong job is not a saving.
The Voice Agents panel also advertises custom volume pricing as low as €0.15 per minute for expected usage above 10,000 minutes. That is a euro-denominated quoted floor, not a universal US dollar price. The page does not publish a universal overage rate or clear carryover terms for unused paid bundle minutes. Get those terms in the order form before making a high-volume forecast.
The introductory offer is limited: the page shows 50 free AI minutes for the first month and a 14-day new-account trial with 50 AI Voice Agent minutes included. Do not interpret the first-month allowance as a permanent free receptionist plan.
Dialers and CRM Integrations: Where the Tier Changes
Power dialing alone does not force you into Expert. A power dialer works through a contact list sequentially. The published annual add-on is $15 per user per month, already included in Expert. Essential plus Power Dialer therefore costs $29 + $15 = $44, compared with Expert at $49. Source: CloudTalk pricing.
That leaves a $5 per-user annual-equivalent gap. If Salesforce or live coaching is required, Expert is an easier decision at that margin. If neither matters and only a subset of agents dials lists, ask about selected add-on seats before upgrading everyone. Keep the calculation separate from AI, which adds $9 on either route.
Parallel Dialer costs $39 per user per month annually and is not included in Expert. It attempts multiple numbers at once and connects the agent to a pickup. Pay for it when list calling is central to the role; a support agent returning individual tickets is unlikely to need that workflow.
For integrations, the essential distinction is standard access versus Salesforce ecosystem access. Essential includes the standard integration tier; the pricing cards name Pipedrive, HubSpot, Zoho CRM and Zendesk among the examples. Before paying, specify the record and fields the call should update. Logging that a call happened, attaching a recording and exporting an AI summary are separate acceptance checks. Confirm the fields, permissions and plan entitlements for your particular CRM. A large integration count cannot answer whether your agent's promised follow-up becomes visible to the next owner.
Calling, Numbers and Other Costs Outside the Seat
Unlimited US calling does not mean an unlimited worldwide phone bill. CloudTalk's published offer excludes special, premium and toll-free outbound destinations, with fair usage and terms applying. For Europe, Starter advertises 500 domestic outbound minutes per user per month across the listed EU countries, UK, Iceland and Norway. Essential and Expert advertise unlimited domestic calling across that listed region, subject to terms and exceptions. Some countries can have lower allocations. Domestic means the applicable domestic calling offer; it is not permission to spend the same minutes on any international destination.
The page also contains separate country offers for Brazil, Colombia, Mexico, Peru and Australia. They are not an additional worldwide pool to stack onto a US plan. A sales team calling across borders needs a destination-specific quote that identifies outbound allowance, inbound exceptions and the rate once an allowance ends. The page does not publish one universal international overage rate.
International number availability is another cost. CloudTalk advertises numbers in 160+ countries, but availability is not a promise of a free number for every seat. Record how many shared numbers, direct lines and toll-free numbers you need, then get the recurring rental for each. Do not substitute the number of countries for the number of included lines.
Branded Caller ID is advertised from $0.07 per call for supported US and UK numbers, with pricing and display varying by volume, carrier and device. Spam Remediation uses a custom quote. The useful purchase document is a line-item quote: licenses, number rentals, required add-ons, included calling routes, chargeable routes, AI bundles and overages. Until those lines are populated, a license total is a budget floor.
Annual Billing Pays Back in Month Nine, With a Commitment
Essential's annual base license first beats monthly payments in the ninth whole month, assuming a stable seat count. One annual seat costs $29 × 12 = $348 prepaid. Nine monthly payments cost $39 × 9 = $351. The calculated break-even is $348 ÷ $39, approximately 8.92 months. Price and billing inputs: CloudTalk pricing.
That is a useful decision rule for a founder still deciding whether the phone workflow will last. If you only expect to need the base license for a short period, monthly billing can cost less in total despite its higher unit price. Annual billing becomes attractive when you expect the seats and system to remain useful beyond the break-even point.
The calculation covers the Essential base license only. Monthly add-on prices are not published on the page, so there is no verified monthly-versus-annual break-even for the combined AI package. Do not reuse the ninth-month result for an unquoted bundle.

CloudTalk says annual billing carries a 12-month commitment and plans are paid in advance. For an ops lead planning a reorganization, stable headcount matters as much as annual savings. Ask what happens to a removed seat and when a reduction affects renewal. Do not budget an immediate refund from reducing seats midyear. Start with the trial, establish the required workflow, then choose the commitment.
Aircall alternatives: CloudTalk vs Aircall and KrispCall
Compare the plan that performs your job, using the same billing cycle. The following are annual license comparisons in US dollars, before separately charged usage, add-ons and taxes. Lower starting prices do not establish the cheaper completed workflow.
Aircall pricing: CloudTalk vs Aircall
Aircall is a cloud calling platform with shared customer conversations and CRM integrations. Its annual Essentials and Professional plans require at least three licenses.
- Cost: Aircall Essentials at $30 per license is $150 for five users or $600 for twenty, versus CloudTalk Essential at $145 or $580. Aircall Professional at $50 is $250 or $1,000, versus CloudTalk Expert plus AI at $290 or $1,160. Aircall pricing.
- Features: Aircall advertises transcripts in Essentials and summaries, sentiment and Power Dialer in Professional, plus one included number per plan and 50 monthly AI Voice Agent minutes. - Verdict: Shortlist Aircall Professional when you need both power dialing and post-call AI: its advertised annual bundle is cheaper here. CloudTalk vs KrispCall
KrispCall is a cloud phone system and an affiliate partner of this site. Its current plans are Starter, Advance, Max and Enterprise.
- Cost: KrispCall Starter is $12 per user annually, or $60 for five users, but stops at five. Twenty users require a larger plan: Advance at $32 is $640, versus CloudTalk Essential's $580, before AI and usage. KrispCall pricing.
- Features: KrispCall advertises one free US/Canada/UK number per user; call recording and Power Dialer start with Advance, and transcripts/summaries are marked add-ons. Starter advertises 200 outbound and 200 eligible inbound minutes per user; Advance advertises 1,000 of each. KrispCall inclusions.
- Verdict: KrispCall belongs on a small-budget shortlist, but its own FAQ says calls and SMS are billed separately while its cards advertise allowances. Who Should Pay, and Who Should Skip CloudTalk?
Pay for CloudTalk when shared calling, routing and CRM records solve a current operating problem. A support lead moving from disconnected phones to a queue and shared call history has a clear reason to buy. Essential is the stronger starting point when routing and standard CRM access are required. A Salesforce sales operation with daily list dialing or live coaching has a clearer reason to pay for Expert.
Pay for AI when you have a specific handoff or review problem and a person responsible for using the output. Pay for a Voice Agent when a defined reception or workflow task can be evaluated against the proposed bundle and human escalation process. Buying every add-on for every seat is not an adoption plan.
Skip CloudTalk if your existing phone system already meets your calling, routing and documentation requirements. You never need to pay for this particular tool just because you have a sales team, and a company conducting its customer work through an adequate existing channel may not need another phone subscription at all. There is no permanent free CloudTalk tier to make a redundant installation worthwhile.
For the buyer who wants recordings and inexpensive seats, Lite deserves a look but its missing queue and integration access must be acceptable. For the buyer who wants dialing and AI together, compare Aircall Professional before committing to CloudTalk Expert plus AI. For a very small operation watching the license floor, compare KrispCall with the usage contradiction resolved in writing.

Write the purchase requirements
List active users, destination countries, shared and direct numbers, required CRM records, recording retention, and the people who need dialing or AI. Request a quote against that list, including billing periods and calling exceptions.
Follow a call through the whole workflow
Route a representative call, hand it to the next agent, inspect the recording and compare any AI output with the conversation. Confirm that the right CRM or support record receives the expected activity and follow-up information.
Resolve the quote before annual billing
Check AI seat assignment, the dialer actually enabled, number rental, voice-agent overages, unused-minute terms and how seat reductions affect renewal. Then choose the cheapest plan that passes your requirements, with the commitment your headcount supports.

How much does a cold caller cost?
A person's salary or contractor fee is separate from the phone platform. The calculations here price software seats, not labour. Budget staffing separately, then add the required license, dialing tools and destination-specific usage; do not present a software seat price as the cost of employing a caller.
Is B2B cold calling illegal?
There is no campaign-independent yes or no. Business calling is subject to applicable rules; the FTC's Telemarketing Sales Rule includes prohibitions on material misrepresentations and misleading statements in B2B telemarketing. What is the 80/20 rule in cold calling?
It is a prioritization heuristic: concentrate effort on the smaller group of prospects likely to produce most of the value. It is not a CloudTalk quota, guaranteed conversion rate or a measured forecast for your list. Budget using your own qualified contacts and call results.
Do I need a credit card to start the trial?

Can I switch plans at any time?
