Trainual becomes more compelling when the request changes to assigning required training and tracking its completion. Consider a finance assistant learning how to submit an expense in an internal system. Capturing the task can be the quickest route to a useful guide. A broader role, involving approval judgment, company policy and several recurring responsibilities, also needs a training structure. An instruction such as “send the client to operations” is incomplete. A useful SOP explains what operations must receive, how the sender knows it arrived and what to do when a required detail is missing.

    Open the document or page, enter Edit mode and open the AI assistant. Work from the approved process rather than asking the model to invent how your company operates.

  2. Describe a specific change

    For the handoff example, ask it to clarify the receiving role and separate normal handoffs from incomplete ones. Supply the approved requirements in the request.

  3. Review the proposed edits

    Check the highlighted changes against the process owner's instructions. The documentation says changes can be accepted or rejected individually; unaccepted suggestions do not overwrite the original.

  4. Check the revised procedure with its owner

    Confirm names, links, exceptions and responsibility before assigning it to employees. Judge the draft by whether someone can follow it, not by how quickly it was produced.

For an owner documenting a business while still running it, this offers a practical division of labor: software helps express the procedure; the person accountable for the work decides what is true. Reserve time for that review. Otherwise you merely move unwritten confusion into a searchable document.

Assign Onboarding and See What Was Completed

Imagine a service company bringing a new coordinator into the customer handoff role. Company-wide policies apply to everyone. The coordinator also needs instructions for checking incoming requests, escalating exceptions and passing complete work to operations. The manager needs a view of what remains unfinished before assigning independent work.

That workflow connects content, an audience and evidence. It also explains why a company can have excellent documentation yet weak onboarding: the new employee may not know which pages matter, in what order, or what the manager expects them to remember.

Plan selection should follow the training experience you require. If group assignments and due dates cover your needs, ask to see them on Core. A useful success measure is less corrective work after onboarding. Track recurring questions, missing handoff details and manager intervention before and after adoption. For the coordinator, a useful question might be: “Who approves a handoff when the customer has not supplied the required information?” The answer should point to the applicable procedure and responsible role. This is the question to take into a demo, with your own approved source ready for comparison.

The distinction from ordinary search is the response format. Instead of choosing among several document titles, an employee gets a proposed answer and can inspect its sources. That can reduce interruptions when the documented policy is clear. It does not turn an absent or contradictory policy into a reliable decision.

Evaluate the evidence behind the answer. Ask a normal process question, an exception question and a question whose answer is absent from the supplied material. Look for the relevant source and a useful acknowledgment of missing information. These are proposed acceptance checks, not measured accuracy results.

Access deserves its own demonstration. The assistant documentation says it will not reveal information the current user cannot normally access. Ask to see the same question from an ordinary employee's account and from an authorized manager's account. An administrator's successful search does not establish what a new hire will see.

For distributed staff, the assistant is also documented in the mobile app. That makes retrieval relevant away from a desk, but you should bring the device and working conditions your employees use to the evaluation.

Connect Custom AI Agents Through MCP

Trainual offers an MCP server on Premium and Enterprise for connecting external AI agents to company knowledge. Model Context Protocol, or MCP, is a standard way for an AI application to request context and tools from another system. An operations lead could use a custom assistant to retrieve the approved handoff procedure, find its responsible role and inspect training completion information before drafting a readiness summary. The documented tools cover content, people, groups, responsibilities and assignment statuses, subject to the permissions selected for the connection.

That is a useful retrieval workflow. The MCP server does not let the assistant create a training assignment, edit an SOP or delete content in Trainual. If your intended workflow includes those actions, the demo must identify a separate supported mechanism. Buying Premium for MCP alone does not establish that your end-to-end automation is possible.

There is another boundary worth understanding before sharing an agent with employees. Only an Admin+ user can create an MCP token, and the token acts on behalf of its creator, inheriting that person's permissions within its selected scopes. Do not assume a shared agent automatically gets the identity and restrictions of whoever asks it a question. Ask your implementation owner to demonstrate how access will work for each intended audience.

The documented setup starts in the user's avatar menu under My settings, where MCP authentication tokens can be created. Permissions are selected when the token is issued; changing them requires replacing the token.

Premium is worth discussing for an existing agent use case, not simply for the acronym. Define the question the agent must answer, the data it needs and the person responsible for it. If the ordinary Trainual assistant already answers the question where employees work, an additional integration may add maintenance without improving the outcome. Trainual pricing is quote-based: Core, Pro, Premium and Enterprise publish no subscription prices, and each displays “Get a demo.” The following reflects the live Trainual pricing page, verified on 10 October 2026. There is no public monthly or per-seat rate to calculate from that page.

A one-time $1,000 implementation fee applies. The pricing FAQ describes 4-6 weeks of specialist help with your stakeholders, including content migration and organization, account structure, a rollout plan and adoption guidance. Get a quote for the workflow you intend to buy

Trainual's public route is a guided demo. The pricing FAQ does not promise a self-serve free trial, so request any evaluation access explicitly. Also ask the quote to identify Training and any additional suite being demonstrated; a feature elsewhere on the website is not proof it is included in your proposed subscription.

Before comparing the offer with a wiki, obtain the subscription total, billing term, included users, expansion terms, required add-ons and renewal conditions in writing. Clarify who migrates content, who approves it and what the implementation engagement must deliver. Specialist help is valuable, but your process owners still need to participate.

There is a public API entitlement mismatch to resolve. The pricing table lists API access and custom integration support under Enterprise. The API and webhooks help page says full endpoint access is available with Premium and Enterprise Training plans. Those descriptions are not interchangeable. If API access matters, ask for the exact entitlement and support scope in the quote. MCP's Premium and Enterprise eligibility is stated consistently.

Calculate cost per completed onboarding from your quote

Trainual cannot be assigned a defensible cost per new hire before you know the subscription and your own workload. Use this budget identity:

Cost per completed onboarding = (quoted annual subscription + $1,000 implementation + internal setup and upkeep labor) ÷ onboardings completed that year.

This is an allocation method, not a measured Trainual result. If existing employees also use the system for retraining, choose a denominator that includes those completed assignments and use the same definition when comparing alternatives. The known implementation contribution is simply the published fee divided by your chosen completed outcomes; the remaining cost stays unknown until quoted.

Compare that cost with measured manager time released and avoided rework. Time released is capacity, rather than an automatic reduction in payroll expense. If you cannot identify recurring training work to remove, the business case is weak regardless of how polished the demonstration looks.

The Limitations That Can Change the Decision

Trainual has specific content and integration boundaries that can affect a rollout. These are documented restrictions or stated review limits, rather than assumptions about what a modern training platform should do.

A public-page review cannot establish how intuitive your staff will find the interface, how responsive support will be or what accuracy your content will produce. The AI assistant cannot read SCORM course content. SCORM is a format for packaged e-learning courses. Trainual can host and track supported course packages, but its help documentation says the AI assistant cannot access the information inside them. For a company migrating an existing course library, this changes the knowledge-search promise. Ask which operational answers need to be available as maintained Trainual documents as well as inside courses. Standalone file uploads have maintenance limits. Trainual's file documentation says these uploads are read-only and cannot currently be swapped in place for an updated version; a replacement requires creating a new standalone file. If your handbook changes frequently, simply uploading it may leave a recurring replacement task. During the demo, ask what happens to its assignments and references when you replace it. Do not assume the relationship survives or fails without seeing the applicable workflow.

Standalone-file search reads written content, not the images inside those files. That matters for a procedure explained mainly through screenshots or diagrams. Add meaningful text and ask to retrieve a detail from a representative file. AI content editing is unavailable in the mobile app. The editing help page describes mobile as optimized for training. MCP cannot perform write actions, and buying involves sales and implementation. These are substantive limits if your plan assumes an autonomous agent will maintain training or that someone can start a small self-serve subscription immediately. Verdict: Buy Training Accountability When You Can Prove It

Trainual is worth a demo when the same business procedures must be taught repeatedly, managers need completion evidence and employees need reliable answers from maintained company knowledge. The combined workflow is its strongest reason to exist in your stack.

The decision rule: proceed when assigned training and supported answers remove recurring coordination work that your current wiki does not handle, and an accountable owner will maintain the content. Choose Notion when the need remains a shared reference library. Start with Scribe Capture when the main obstacle is turning demonstrated software work into instructions.

For a company near the larger end of Trainual's stated range, involve the people responsible for identity, content migration and integrations before selecting a plan. A convincing authoring demo does not settle a rollout across roles and locations. For a very small team, wait until you can name the training coordination problem that warrants the buying process.

Make the demo demonstrate your work

Trainual should be evaluated against an actual procedure your company needs to teach. Before the call, the operations owner should select a customer handoff or similar recurring process, identify its approver and record where new hires currently need help.

Ask the demonstration to cover the full path:

  • Turn the supplied process into a draft and show how proposed AI changes are reviewed.
  • Assign the approved material to the relevant role or person on the proposed plan.
  • Show unfinished work and completion evidence from the manager's view.
  • Ask a normal question and an exception question, then inspect their source links.
  • Repeat a permission-sensitive question using an ordinary employee's access.
  • If custom agents matter, demonstrate the read-only MCP retrieval you need and identify any separate write integration.

Next week, give the process owner responsibility for that evaluation and collect the corresponding quote. Expand the rollout only after the workflow is understandable to the new hire and maintainable by the person who owns it. That is more useful evidence than a library filled with draft SOPs.
