Airtable vs Notion

Choose Airtable when your operation depends on connected records, repeatable handoffs and controlled data entry. Choose Notion when the work lives in briefs, decisions and a team wiki. Across the 6 jobs in this Airtable vs Notion comparison, the deciding question is what must stay consistent: the data, the explanation, or both.

Airtable vs Notion: Which Should You Pick?

An operations lead managing customers, assets or requests should start with Airtable. A founder organizing company knowledge and collaborative projects should start with Notion. Run both when the same business needs a dependable operational register and substantial documentation, with a clear owner for each piece of information.

Airtable is a database first: a place to keep records connected and build workflows around them. Notion is documents first: a place to write, organize knowledge and put structured tracking beside the explanation. Those are differences in emphasis. Notion has relations and rollups; Airtable has interfaces and AI assistance. Neither is confined to its original use case.

ToolBest fit and deciding capabilitiesStarting paid planDealbreaker to check
AirtableOperational records, linked entities and automated handoffsTeam: $20 per seat/month, billed annually. Vendor price; Airtable pricing.Record, automation and API allowances; separate portal requirements
NotionTeam wiki, substantial project briefs and tasks inside documentsPlus: $10 per member/month, billed annually. Vendor billing basis; Notion pricing.Plus has trial AI; ongoing AI and granular database controls lead to Business or Enterprise

Both have free plans. The entry paid plans above do not buy equivalent AI or client-access capabilities. Notion's current plan comparison places its ongoing AI workspace features on Business and Enterprise. Choose the required workflow before comparing seats; a lower entry price does not replace a missing workflow.

Verified against the makers' live pricing and documentation on 1 November 2026. The recommendations use four criteria: where the authoritative information lives, what should trigger work, who may see or change it, and what must survive a migration. The recommendations come from current documentation and workflow analysis.

The choice flips when your main problem changes. If people cannot find the decision behind a task, favor Notion. If people cannot agree which customer, order or asset a task belongs to, favor Airtable. If both problems matter, forcing everything into either product can create more maintenance than a deliberately small combination.

Which Tool Wins Each Job?

Airtable wins when repeated work depends on consistent records; Notion wins when the record needs a substantial explanation. Use the default below, then apply the condition that changes it.

Lightweight CRM: Airtable for a shared pipeline

Airtable is the stronger default for an operations lead who needs everyone to use the same customer and opportunity records. A CRM, or customer relationship management system, connects the people you sell to with the work of selling and serving them.

Consider an agency with several contacts at each client. Keep the company in one table, contacts in another and opportunities in another. A linked record connects an opportunity to the company instead of copying its name into several unrelated lists. Airtable documents these record relationships, including relationships where many records connect to many others.

Notion is a sensible lighter choice when a founder mainly needs rich meeting notes, relationship history and a next-action date. The switch to Airtable becomes worthwhile when maintaining consistent ownership and follow-up status matters more than writing inside each contact page. A custom CRM also needs someone to maintain it; neither a template nor an AI-generated starting point removes that job.

Content calendar: Notion for writing, Airtable for production

Notion wins for a small editorial team because each planned article can be the actual writing space. The brief, draft and status do not need separate homes. A calendar is simply another way to view those pages.

Airtable wins once the calendar becomes a production register: a campaign has several deliverables, each deliverable has channel variants, and each variant needs an owner and approval state. The benefit is consistent relationships between those objects. It is not that a calendar view looks better.

For example, let a campaign own its launch date while individual assets own their production status. That prevents a video reschedule from silently changing the plan for every other deliverable. This is a data-design choice you must make; the software cannot infer the correct business meaning from the word “status.”

Project tracking: Notion for context, Airtable for repeated delivery

Notion wins when the project page is where people decide what to do. Its databases support subtasks and dependencies, so the choice is not between “real projects” and notes. A product initiative can have a written scope, linked tasks and the reasons behind a changed deadline in one workspace.

Airtable wins for repeatable operations such as client onboarding or equipment deployment. Each project may connect to a customer, assigned resources and the same sequence of delivery milestones. Its Team plan includes Gantt and timeline views, but the stronger reason to choose it is the shared operational model underneath them.

Start by naming the report your manager needs. “What did we decide?” points toward Notion. “Which deliveries are blocked by the same supplier?” points toward a structured record system. If your requirements center on sophisticated resource planning, validate that specific workflow before assuming either flexible workspace is a dedicated project management system.

Team wiki and inventory: give each a clear winner

Notion wins the wiki. A policy needs an explanation, examples and links to related decisions. Turning that into a collection of database fields makes the writing harder to maintain. Our Notion review examines that document-led fit in more detail.

Airtable wins the operational asset tracker. A laptop, its custodian and its checkout history are distinct things. Model them separately when reassignment matters, instead of repeatedly overwriting a name and losing the meaning of the previous state. Notion remains adequate for a simple directory with a setup guide inside each item; that is a different job from tracking movements and handoffs.

Databases and Documents: Where Each One Hits a Wall

Airtable asks you to design the records; Notion asks you to organize the pages. The easier product is the one whose structure matches how your colleagues already work.

Airtable: build the shared register first

Airtable is a relational work platform: its bases contain tables whose records can connect to one another. Views present the same underlying information in different ways, while interfaces give colleagues a more focused surface for working with it. This suits an operator who wants a request, its customer and its delivery status to remain connected.

Airtable

The setup cost is deciding the structure. A beautiful interface over duplicated customer records still produces duplicated customers. Name the entities first, decide which fields have controlled choices, and assign someone responsibility for changes to the structure. Skip Airtable as your main writing home if most work is long explanations with occasional task lists.

Its published base allowances are 1,000 records on Free, 50,000 on Team, 125,000 on Business and 500,000 on Enterprise Scale. The record limit is cumulative across tables in a base. Splitting customers and tasks into separate tables does not give each table a fresh allowance.

Notion: make the page useful before adding properties

Notion is a document workspace with databases whose items are themselves pages. A property is a structured attribute such as owner, date or status. The page holds the explanation; properties make those pages sortable and trackable. Notion's database documentation describes inline databases, multiple views and page content within each item.

Notion

Notion also supports relations and rollups. A relation connects database pages; a rollup summarizes information from those connections. You can therefore build a connected project system. The question is whether that structure stays understandable to the people maintaining it.

The current database limits state 250,000 rows and 500 properties per database. That page also states a 2.5 MB limit for a database page's property data and a 1.5 MB limit for the database's property structure. The page-property limit excludes the page body, uploaded files and formula or rollup values. The database-level limit concerns its property structure, such as fields and their options.

A row allowance is not a speed guarantee. Notion identifies complex formula and rollup chains, visible properties and complicated sorts as possible causes of slow loading. Do not interpret its row ceiling as proof that a heavily connected inventory system will feel fast. Equally, do not assume it stops being useful at an invented small row count.

Automations and the API: Airtable Wins Operational Handoffs

Airtable is the better default for an operations lead designing repeatable, event-driven handoffs. An automation is a rule: when a defined event happens, perform defined actions. It is different from asking an AI agent to interpret a situation.

Automation rules: check the trigger, not just the action

Airtable's automation documentation lists triggers for new or changed records, matching conditions, form submissions, schedules and incoming webhooks. A webhook is a notification sent by another system when something happens.

For an onboarding process, a completed intake can create the next task and notify the owner. Write down what counts as “completed” before configuring the rule. Otherwise, an innocent correction to a form can become another handoff.

Airtable allows 100 monthly automation runs on Free, 25,000 on Team, 100,000 on Business and 500,000 on Enterprise Scale, per workspace. A trigger invocation consumes a run even if the actions fail. There is a separate cap on unique automations per base; Team allows 100, including disabled automations. Free does not include the script action. These are separate constraints, so spare monthly runs do not mean unlimited room to add rules.

Notion's database automations are useful for assigning work, changing properties and sending notifications. Full database automation is a paid-plan feature, with a narrower Slack notification exception on Free.

That distinction is more useful than calling Notion's automations “basic.” A single well-scoped rule may be all a document-led team needs. The cited page does not state an equivalent universal monthly run allowance, so there is no honest unlimited-versus-capped comparison to make.

API limits: the scope matters as much as the number

An API lets other software read or change your records and pages. Both products expose one. Airtable wins the data-workflow fit here; the published rate limits do not establish a universal speed winner.

Airtable's API limits include 5 requests per second per base. Free has 1,000 monthly calls per workspace and Team 100,000; higher paid plans remove the monthly call cap, not the per-base rate limit. Team traffic slows to 2 requests per second after its monthly allowance is exceeded. Batching can process up to 10 records per request, which is why requests and records are different units.

Notion's current API documentation gives each connection a budget per 60-second window: 600 requests per minute on Business and Enterprise, or 180 on other plans. However, querying a data source has its own limit of about 3 requests per second per connection. A separate shared workspace limit also applies; that page does not publish its numerical budget.

The practical consequence is straightforward: buying the higher Notion plan does not turn every database-query workflow into the headline request rate. For either product, your integration needs a queue, retries and a plan for partial failure. A changed status should not become a lost customer update just because another import consumed the available request budget.

AI and Agents: Choose the Work You Want Done

Airtable wins for AI work attached to operational records. Notion wins for AI work grounded in company documents and collaborative context. These are workflow recommendations, not a claim that either vendor's underlying model is universally smarter.

Airtable: Omni builds and assists; field agents work inside records

Airtable calls its assistant Omni. Its current help page says it can build apps, analyze data and documents, research the web, and create or update records. It can also create or update automations, leaving a new automation turned off for review. Its actions follow the user's permissions.

For an operations lead, the useful request is specific: “Build an intake tracker with an owner and approval status.” You still decide what approval means and inspect the resulting structure. Omni cannot create new views or configure base or workspace permissions. Natural-language app building does not remove those boundaries.

Field agents are AI-powered fields that retrieve, analyze or generate information at the cell level. Airtable's field-agent documentation describes web research, document analysis and generation when referenced inputs change. They are available on paid plans and consume AI credits. Airtable's Team allowance includes 15,000 AI credits per paid user each month. These credits are Airtable's own usage unit, so their count cannot be compared directly with Notion credits.

A sensible example is extracting a category from a submitted request, then letting a deterministic rule route that category to an owner. Keep arithmetic in formulas or rollups. Another useful detail: a field-agent cell that someone manually edits or clears is not automatically overwritten. A blank cell may therefore need deliberate regeneration, rather than another change to the surrounding workflow.

Notion: separate the personal assistant from background agents

Notion Agent is the on-demand assistant inside the workspace. Its help page describes creating and editing pages, databases, views and relation properties using workspace and connected-app context. It has the same access as the person using it.

That suits turning a project discussion into an organized brief and task database. However, the same page says the Agent cannot create new database automations or advanced properties such as formulas, rollups and buttons. It also cannot change page permissions. The existence of a separate AI formula helper does not mean the Agent can configure every database feature.

Custom Agents run in the background on configured schedules or events. You give them instructions and explicit access to relevant pages, databases and connected tools. A weekly project recap is a better starting assignment than an open-ended instruction to “manage operations.” Define where the result should go and which source material it may use.

Notion also offers AI Meeting Notes, Enterprise Search and writing assistance. Their value follows the knowledge you maintain: a clear, current policy is a better input than several contradictory copies.

The detailed rules also say AI Meeting Notes starts consuming Standard credits on 1 December 2026, while Database Autofill currently does not reduce the credit balance. Check the workspace's usage settings before assuming every listed AI feature already draws from the same allowance.

For either product, start with a bounded job and inspect its outputs before increasing its scope. An agent that can write to records can create cleanup work as easily as it can remove manual work.

Client Portals and Forms: Separate Access From Intake

Airtable wins for clients who must repeatedly work with operational records; Notion wins for clients who need a shared document space. A portal is an ongoing access experience. A form is an intake or update path. They solve different parts of the problem.

Client access: check permissions before presentation

Airtable Portals is an add-on for Team, Business and Enterprise Scale. It exposes interfaces to external collaborators, with sign-in customization on Business and Enterprise Scale. This fits a client who returns to update requests or review assigned work.

A licensing detail can change the design: Airtable says a portal guest given editor access across multiple bases in the same workspace or organization is billed as an internal editor. Plan the data layout and access model before treating every external editor as a portal seat.

Notion lets you invite guests to individual pages. Guests need a Notion account, and subpage access is inherited by default. That is a useful fit for a client brief, decisions and deliverables.

Notion also has database page-level access and property-level access controls on Business and Enterprise. It is outdated to dismiss it as incapable of granular database sharing. The boundary to understand is that broader access still wins: a restrictive assignment rule does not cancel access granted elsewhere. Verify the result as the client, not as the database owner.

Forms into Airtable: where Fillout fits

Fillout is a form builder made for feeding Airtable. Its Airtable integration connects form fields to records, and its update forms can prefill an existing record for a respondent to change.

That is a specific reason to add it. Airtable's own documentation says its standard forms are designed to create new records; updating an existing record needs a workaround or another interface or portal workflow.

Fillout's official guide showing update mode for forms connected to Airtable records
Fillout forms for Airtable

For a supplier correcting their existing details, Fillout's documented path is Integrate → Airtable → Update record. The supplied formula produces a unique link for the record. Without the record ID, the form creates a new record instead. Update-form instructions

The same guide warns that an update link can expose the record's fields even when they are not visible as form questions. Restrict the prefilled data or separate private fields into another table. A form that looks narrow is not, by itself, a narrow permission boundary.

When Running Both Is the Better Decision

Use both when Airtable owns operational facts and Notion owns the explanation of the work. The arrangement needs a boundary, not a second copy of everything.

For an agency, Airtable might own the customer ID, delivery status and assigned account owner. Notion might own the project brief, meeting decisions and operating procedure. The brief can point to the record; the record can point to the brief. Those links already solve much of the navigation problem without a synchronization project.

An architecture model shows status owned by Airtable, a read-only display in Notion, and a link back to Airtable for edits
Recommended ownership: display selected operational data beside the brief, and return to its source to change it. Synchronization requires a configured integration.

If you need live status in both places, choose a direction for each synchronized field. Status can travel from Airtable to a read-only display beside the Notion brief. An editor follows the link back to Airtable to change it. This is a proposed architecture, not a claim that the products automatically synchronize this way.

An integration should preserve a stable identifier, define what deletion means and show when a copy last refreshed. Matching only on company names invites mistakes when someone changes punctuation or renames an account. Decide who investigates a failed update before relying on the displayed copy in a client meeting.

Keep one product when the second would merely duplicate your task list. Two subscriptions are the visible expense; two conflicting answers to “is this finished?” are the operational expense. A small company should earn the extra system by naming the distinct work it will own.

Switching Costs: Rebuild the Workflow Around the Data

Switch when the current structure causes repeated errors or slows necessary work. Stay when the alternative only looks tidier. The migration cost is rebuilding meaning, permissions and behavior around the data.

Notion vs Airtable: what the export does not preserve

Airtable exports grid views as CSV files, one table at a time. Export an unfiltered view if you need all records. Record comments are excluded, and attachment URLs in the CSV expire after a few hours, so an export is not a complete long-term archive of your files and workflow.

Notion can export pages as Markdown and databases as CSV. Its relations documentation adds an important limitation: relations export as plain-text URLs, and importing that CSV does not re-establish the database relationships. Preserve a mapping of identifiers and related objects before you move them.

Budget work for rebuilding automations, reviewing every client permission and replacing links colleagues already use. Neither a spreadsheet export nor a successful import proves that the operational system has moved. A supplier attached to the wrong order is a migration failure even if every row arrived.

Airtable alternatives: when Notion is the right switch

Notion is a credible Airtable alternative when your base has become a complicated index of documents and the documents do most of the work. Move the explanation and its lightweight tracking together.

Do not make that switch simply because Notion's entry plan is cheaper. A working intake and inventory system with connected records, established automations and client interfaces has a migration burden that the starting seat price does not capture. Likewise, a company with a well-maintained Notion wiki should not rebuild its handbook inside Airtable merely to consolidate subscriptions.

On Monday, take a representative workflow and trace it from submission to completion. Identify the authoritative fields, the documents people consult and the permissions each participant needs. Rebuild that slice in the proposed setup, including an ordinary correction and an exception. Only expand after the people who perform the work can find the answer and complete the handoff without maintaining duplicate truth.

Frequently Asked Questions

Is Notion better than Airtable?

For a founder building a company wiki, writing briefs and coordinating document-led projects, yes. For an operations lead maintaining linked customer, asset and delivery records, Airtable is the stronger default. Notion can do relational tracking; the decision is which work should shape the workspace.

What are the downsides of using Airtable?

You must maintain the data model, watch the plan's record and automation allowances, and design around API limits. Client access can introduce separate portal requirements. Exporting the rows also does not preserve the entire working system, including its interfaces, automations and conversations.

Is there an app better than Notion?

Airtable is better for the operational register described here. Notion remains the better fit for substantial writing and shared knowledge. A replacement should solve a named problem in your work, rather than promise to be better at every possible job.

What is the difference between Trello and Airtable?

Trello organizes work through boards, lists and cards. Airtable organizes connected records that can represent customers, assets and tasks together. Choose the board approach for a straightforward task flow; consider Airtable when relationships between different kinds of records drive the work.

Is Airtable better than Google Sheets?

For shared record workflows with linked entities and event-driven handoffs, Airtable is usually the better fit. Google Sheets is a collaborative spreadsheet suited to analysis and flexible calculations. Moving a financial model into a work database is not automatically an improvement.

Which is better, HubSpot or Airtable?

Choose HubSpot CRM when you want a dedicated customer relationship and sales system. Choose Airtable when the customer record is part of a broader custom operation you are prepared to maintain. A lightweight CRM template should not be mistaken for a complete sales operating system.

Do people still use Notion in 2026?

Yes. Notion remains an actively developed product, with current documentation for its workspace, agents and AI credit transition. Popularity is less useful than fit: choose it when maintaining shared context is the work you need to improve.

Do people still use Airtable?

Yes. Airtable maintains current plans and documentation for databases, automation, interfaces and AI. Choose it because your operation benefits from connected records and clear handoffs, rather than because a usage trend suggests you should.

Is Notion overkill?

It can be if you only need a short task list and nobody will maintain a custom workspace. Start with a useful page and the minimum properties needed to coordinate work. Add relations, automation or AI only when they remove a recurring problem.

Airtable vs Notion pricing?

Notion has the lower entry paid price, but its entry plan does not include the same ongoing AI access as Business. Airtable's seat price is only part of an operational setup if you need extra access or capacity. The linked pricing guides above carry the full plan ladders; choose the required workflow before comparing the bill.
