Enterprise AI Agents 2026: Gemini Enterprise, Copilot Studio, ChatGPT Work, Claude Enterprise, Agentforce and Airia (Compared)
Compare six enterprise AI agent platforms by stack, connectors, building tools, permissions, audit logs, approvals, retention and verified pricing.
Published

Choose enterprise AI agents by where the work happens and who controls their actions. These 6 platforms solve different buying problems: Gemini Enterprise for Google-centered staff workflows, Copilot Studio for Microsoft, Agentforce for Salesforce, ChatGPT Work or Claude Enterprise for delegated knowledge work, and Airia for orchestration and governance across vendors.
Pricing and product documentation verified on 14 October 2026. This is a comparison of documented capabilities, controls and buying models. The examples are proposed workflows, not claims of deployments or measured results.
The purchasing mistake is treating every agent product as the same thing. A staff workspace helps employees delegate tasks. A builder lets you define a repeatable process. A governance layer controls the models, tools and actions that process uses. Some products cover several of these jobs, but the license, permissions and operating responsibilities still differ.
An agent is software that can use tools to work toward an outcome across multiple steps. For an operations lead, the useful distinction is between preparing a supplier-change request and changing the supplier record. The second needs a verified identity, an allowed action and a record of what happened.
Enterprise AI Agents at a Glance
Start with the platform closest to your existing process, then test the control that could disqualify it. Prices below describe different billing units; a credit pack and a staff seat are not equivalent purchases.
The linked pricing details in each section explain prerequisites, other plans and consumption. A price marked as a quote is intentionally left unestimated.
Pick by Your Stack
Your first shortlist should follow the system that owns the business record. That reduces the number of connections, permissions and handoffs you need to operate.
For a mixed company, these can be complementary purchases. An analyst might use ChatGPT Work to prepare a report while an IT-owned Airia workflow handles an approved cross-system action. That architecture is a proposal to validate, not a claim that buying either product automatically connects or governs the other.
How These Were Picked
The shortlist covers the six named platforms an IT or operations lead would evaluate for staff agents. Selection turns on workflow fit, available connections, build effort, permission boundaries, evidence after execution, retention and total cost. There is no benchmark score or universal winner.
Each product was checked against its maker's current pages. Public documentation establishes that a control exists within its stated scope; it does not establish that your tenant, plan, region or connector has it enabled. Preview features are identified as such. An unanswered procurement question is left open instead of being converted into a feature claim.
Consumer assistants and developer frameworks are not separate entries because the buying decision here includes employee administration and ongoing operation. That does not make them poor products. It means a prototype tool alone cannot settle who owns access reviews, incident investigation and offboarding.
The examples use ordinary business work: supplier intake, account preparation, internal support and document production. For more candidate processes, use the AI agent examples guide. Pick a recurring job with a clear output before deciding how much autonomy it needs.
The Enterprise AI Agent Platforms Compared
Each platform below has a distinct best-fit scenario. The relevant question is whether it can complete your process with acceptable integration effort, control coverage and cost.
1. Google Gemini Enterprise: Start Here for Google-Centered Work
Google Gemini Enterprise is a staff-facing agent and enterprise-search product that suits companies whose everyday work begins in Google Workspace. Its value is bringing business context into an employee's task without requiring the employee to assemble that context manually. A practical pilot is a supplier-intake assistant that reads approved documents, prepares a request and asks a person to authorize the next action. Choose it when the Google workplace is your starting point and the required workflow is available in your edition.
Best for: Google-centered companies building staff search and repeatable internal workflows.
Standout: A workplace entry point connected to enterprise sources, with a no-code workflow path.
Pricing: Request a seat quote; the current product page does not display a numeric seat-price schedule.
Free trial: Gemini Enterprise Plus offers a 30-day no-cost trial. Google product and trial details.
Connections and the build path
Google lists Google Workspace, Microsoft 365, Slack, Confluence, GitHub, Jira, Salesforce, ServiceNow and BigQuery among its integrations. Access to a source does not automatically establish every write action you need. Check the specific connector operation, not just whether its logo appears.
Workflow Builder supports natural-language creation, templates, conditional branches, loops, connected tools and execution logs. Its documented workflow connectors include Gmail, Google Drive, Slack, Jira, ServiceNow, SharePoint and Outlook. Administrators must enable Workflow Builder. An operations lead can use the visual path; a developer can extend the architecture when the task needs more than the available steps. Workflow Builder documentation.
Edition selection matters. Google's comparison lists Business, Standard, Plus, Pay-as-you-go and Frontline. Business has selected connectors; Standard and Plus offer the full connector ecosystem and enterprise controls. The table marks no-code agent creation as preview. Standard, Plus and Pay-as-you-go support externally built full-code agents. Frontline is for using provisioned agents, with a prerequisite of at least 150 Standard or Plus users. Edition comparison.
Permissions, audit, approvals and retention
Permissions: Google describes source access as following existing user permissions. Separately, an administrator can require review before a workflow is shared. Crucially, that review applies to the initial share; later workflow revisions do not require re-approval. Treat agent changes as a separate internal release process. Workflow-sharing controls.
Audit: Gemini Enterprise documents Cloud Audit Logs for administrative and data-access methods. Ask your pilot owner to demonstrate the particular events needed for investigation. A method log and a complete transcript are different records. Audit-log coverage.
Approvals: Workflow Builder has explicit Request info and Approval steps that pause execution. That is a concrete place to stop a proposed supplier change before downstream work proceeds. Human review steps.
Retention: Assistant chat history can be set to 1, 30, 60, 90, 120 or 180 days; the default is 60. That setting describes assistant sessions, not every connected application's records or every log. Assistant configuration.
What to price and what to pilot
Ask for the named edition, seat commitment, connector availability, included usage and overage behavior in the same quote. Google's Pay-as-you-go documentation lists storage and indexing at $5 per GiB per month and refers agent usage to Agent Platform rates. That is a consumption component, not a substitute for a seat quote. Quotas and consumption charges.
Also check launch status. The current product page identifies third-party model choice and some background-task and device experiences as early access. Do not sign off a required production workflow because a landing-page demonstration shows it.
Enable the workflow feature
Have the Gemini Enterprise administrator enable Workflow Builder and connect an approved source. For the supplier example, begin with documents the pilot users are already allowed to read.
Draft before changing records
Create a workflow that prepares a supplier-change request. Keep the initial output reviewable and make the intended destination explicit.
Insert the approval pause
In the workflow, choose Add step, Human in the loop, then Approval. Configure the information the reviewer sees. Confirm that the run reaches Needs Review before the downstream step executes.
Test the boundary
Try the workflow with an authorized user and a user lacking source access. Review the run record, then change a workflow step and apply your own change review before sharing the revision.
- Connects Google-centered work with documented third-party business sources.
- Visual workflows include explicit human review steps.
- Edition documentation distinguishes staff use from full-code agent integration.
- Initial sharing approval does not re-approve every workflow revision.
- Some prominent capabilities remain preview or early access.
- A current seat quote is needed; older advertised prices are not a reliable budget.
2. Microsoft Copilot Studio: Best Fit for Microsoft Operations
Microsoft Copilot Studio is a graphical, low-code builder for agents and workflows, making it a strong starting point for an organization already administering Microsoft 365 and Power Platform. Consider an internal support agent that gathers the request, consults approved guidance and passes a proposed change through an authorization step. Its advantage is operational proximity to Microsoft's business tools. Choose it when IT intends to own and maintain a repeatable process, with licensing checked against how employees invoke it.
Best for: Microsoft 365 companies with Power Platform ownership and recurring internal processes.
Standout: Low-code agents and workflows with Microsoft administration and deployment channels.
Pricing: $200 per month for a pack of 25,000 Copilot Credits; pay-as-you-go and pre-purchase options also exist.
Free trial: A trial is offered; verify its current conditions. Copilot Studio pricing.
Connections and the build path
Copilot Studio uses prebuilt and custom connectors and can publish agents into Microsoft Teams, Microsoft Copilot, websites and other channels. Makers use a graphical designer; custom systems still need someone to implement and maintain the connector and its authentication.
Microsoft documents several execution engines: GitHub Copilot, standard and Copilot chat. The engine affects capabilities and billing. A quote based on one engine is not automatically a valid forecast for another. For a support pilot, write the chosen engine beside the connector list and expected traffic. Copilot Studio overview.
Permissions, audit, approvals and retention
Permissions: Power Platform data policies can govern authentication, knowledge sources, connectors, actions, requests and publishing channels. Tools can use the user's credentials. This gives IT a way to constrain which connections makers can combine, but a permissive service account still needs review. Security and governance controls.
Audit: Microsoft Purview records Copilot Studio events. The audit event contains metadata and a transcript thread ID; it does not itself contain the full conversation text. Demonstrate both the event search and the route to the corresponding transcript before relying on it for investigations. Purview audit documentation.
Approvals: Workflows and agent flows provide human-review paths. Microsoft's specific multistage and AI approvals documentation is marked preview, and says preview features are not intended for production. If that is the approval path shown in your demo, require a supported production design before rollout. An AI-generated approval decision is also not equivalent to a named employee's authorization. Multistage approval status.
Retention: Administrators can control Dataverse transcript saving, access and retention. Microsoft separately documents temporary Copilot Studio session storage for up to 28 days. Turning off one transcript destination should not be represented internally as immediate deletion everywhere. Transcript controls.
The license question that changes the budget
There are four relevant routes. Microsoft 365 Copilot is listed at $30/user/month, paid yearly, with a qualifying Microsoft 365 plan required. Standalone Copilot Studio offers credit packs, pay-as-you-go, and a pre-purchase plan. The latter two require an Azure subscription. The pre-purchase offer advertises discounts up to 20%; obtain the commitment and discount for your quantity rather than assuming the maximum. Purchasing options.
Eligible internal usage can be included for authenticated Microsoft 365 Copilot users, subject to documented identity, trigger and fair-use conditions. That does not mean every unattended run or computer-use task is included. The standard-engine rate card also combines feature charges, with additional reasoning charges where applicable. Billing scope and rates.
For a Microsoft-heavy company, check existing employee entitlements before budgeting a second layer of capacity. Then measure a complete support request, including its failed attempts, instead of forecasting from a single successful response.
- Fits Microsoft channels and Power Platform administration.
- Supports graphical workflows and custom connections.
- Offers multiple purchasing models for different usage patterns.
- Engine, identity and trigger choices complicate billing comparisons.
- Audit events and full transcripts require separate attention.
- The documented multistage AI approval feature is preview.
3. OpenAI ChatGPT Work: Best Fit for Delegated Staff Deliverables
OpenAI ChatGPT Work is a way for employees to delegate multi-step tasks inside ChatGPT, using approved context and tools to produce something they can review. It suits an operations analyst preparing a supplier comparison, an account manager assembling a briefing or a finance lead turning source material into a presentation. The buying unit is a governed employee workspace with usage, rather than a standalone workflow-engine license. Choose it when the immediate problem is getting staff work completed across approved sources.
Best for: Employees delegating research, analysis, documents and recurring updates.
Standout: Natural-language task delegation with reviewable files and connected business context.
Pricing: Business is $20/user/month billed annually, or $25 monthly, with at least 2 users; Enterprise is quoted.
Free trial: A Free plan exists, but it does not establish Enterprise pilot terms. Official pricing.
Connections and the build path
Work's documentation names connections such as Slack, Google Drive, SharePoint, email, calendars, Salesforce MCP and GitHub. MCP, or Model Context Protocol, is a standard way to expose external tools and data to an agent. Its presence describes a connection method, not permission to access everything behind that connection.
Employees can describe the desired outcome in ordinary language and supply context. Reusable plugins can also be created and edited through a conversation. That provides a no-code route for supported workflows; implementing a new private-system integration still requires the relevant tools and authentication. Getting started with Work.
For an account briefing, specify the approved customer records, the reporting period, the output format and the point where a person reviews the result. That is more useful than asking for an unspecified “sales agent.” If the workflow must reliably execute a backend transaction without an employee present, evaluate that deployment requirement separately from the employee experience.
Permissions, audit, approvals and retention
Permissions and approvals: Work access, local/cloud execution and connected-app actions have distinct controls. Supported app action policies can allow read-only actions or a custom set; approval behavior is a separate setting. A shared or agent-owned connection can grant access through its connected account, beyond the invoking employee's personal access. Scope the connection and its audience together. Work administration.
That shared-connection distinction matters for a finance assistant. If it can read a departmental account, limiting who may invoke the assistant becomes as important as limiting the account itself. Ask an administrator to demonstrate both boundaries.
Audit: Enterprise provides Compliance API logging, with coverage depending on event and execution surface. Verify that the records you need are covered rather than assuming every local tool call appears in the same feed.
Retention: Conversation content, project files, synchronized app data, local resources and third-party records can follow different rules. OpenAI expressly says local computer access with Work Cloud is not strict zero data retention. A task touching a laptop and an external application needs a retention design for both. Work execution and data boundaries.
Business seats are not an Enterprise-control price
OpenAI's pricing page lists Free at $0/month, Go at $8, Plus at $20, and Pro options at $100, $200 and $500. Those individual plans are not substitutes for company administration. Business adds a dedicated workspace and SAML single sign-on (SSO), so staff can sign in through the company identity system. Enterprise and Edu use sales pricing and add controls including SCIM, role-based access, Compliance API logs and retention options. SCIM automates account provisioning and removal through an identity provider. Plan comparison.
For an illustrative 100 employees, annual Business pricing means $2,000 per month equivalent, or $24,000 a year in base seats. That is not a quote for Enterprise controls, nor a promise of unlimited agent work.
Work and Codex share usage accounting. On eligible credit-based agreements, using committed credits does not automatically create a new invoice charge; actual billing depends on the agreement, remaining allocation and overage settings. Measure the combined usage of the pilot users. Do not estimate included Work tasks from API token prices. Work usage and cost.
- Natural-language delegation suits research and finished deliverables.
- Business context can come from several approved applications.
- Enterprise provides identity, audit and retention controls within documented scopes.
- Business's public seat price does not buy the Enterprise control package.
- Shared connections need their own audience and permission review.
- Local, cloud and connected-system retention cannot be reduced to one promise.
4. Anthropic Claude Enterprise: Best Fit for a Claude-Based Workforce
Anthropic Claude Enterprise is the managed workforce offering for Claude Chat, Claude Cowork, Claude Code and company connectors. It suits a business that wants operations staff and developers using Claude under common administration. A reasonable operations pilot is preparing a monthly supplier-performance pack from approved files and business applications, with a person reviewing the final recommendation. Choose it when Claude is the preferred working environment and IT can manage both cloud and device data.
Best for: Companies standardizing staff knowledge work and coding on Claude.
Standout: Employee products and connectors with Enterprise identity and governance controls.
Pricing: $20/seat/month billed annually, plus usage at API rates; minimum 20 seats.
Free trial: Enterprise trial terms are not stated on the pages reviewed. Claude Enterprise details.
Connections and the build path
Anthropic names Gmail, Google Drive, Slack and Microsoft 365 among the ways Claude can work with company context. Cowork provides task delegation for business work; Claude Code serves software work. Employees can describe a task rather than write a program, while custom integrations and bespoke production systems still require implementation.
Keep the workforce purchase distinct from Claude Platform, Anthropic's developer offering for building agents into products and applications. Paying for Claude Enterprise does not, by itself, specify the architecture for an unattended procurement service. The workforce product is the better initial evaluation when a staff member owns the request and reviews its result.
For the supplier pack, separate evidence collection from the final business judgment. Ask Claude to identify the source behind each recommendation and leave contractual changes for the approved business process. This keeps the pilot's acceptance test concrete: can the operator validate the output without recreating the entire analysis?
Permissions, audit, approvals and retention
Permissions: Enterprise includes SSO, SCIM and role-based access control, which assigns capabilities according to a person's role. Admins can approve connectors and set tool permissions. The connected system's access rules still matter; enabling a connector is not a replacement for cleaning up source permissions.
Approvals: Cowork's setting allowing persistent “Always allow” permissions for write-capable connector tools is off by default. “Automatically approve” mode is a separate control. Review both before you tell employees that every consequential write will require a fresh decision. Cowork administration.
Audit: Enterprise includes audit logs and the Compliance API. Cowork events can also be sent through OpenTelemetry, a standard for exporting operational telemetry, to monitoring systems. Telemetry and compliance logging serve different purposes; do not substitute one for the other without verifying the event coverage.
Retention: Custom chat and project retention has a 30-day minimum. By default, data is retained indefinitely until a custom period is set. Project retention takes precedence for chats inside projects, so configuring standalone-chat retention alone does not settle the whole workspace. Custom retention documentation.
The separate device issue is easy to miss: local Cowork conversation history remains on users' computers, and Anthropic's central retention controls do not centrally manage or delete those copies. Include device offboarding in the deployment plan.
Read the usage clause beside the seat price
The live pricing page lists Free at $0; Pro at a displayed $17/month annual equivalent, with $200 paid upfront, or $20 monthly; and Max from $100/month. Team supports 2 to 150 users, with Standard seats at $20 annually billed or $25 monthly, and Premium seats at $100 annually billed or $125 monthly. Enterprise has self-serve and sales-assisted purchase routes. Its public base price is $20 per seat per month, annual billing, plus usage. All Claude plans.
The plan comparison places SCIM, role-based access, audit logs, the Compliance API and custom retention in Enterprise rather than Team. Choose the control package first, then compare the usage economics.
- Brings staff tasks and coding into a managed Claude environment.
- Enterprise offers connector permissions, audit access and custom retention.
- Publishes the base Enterprise seat price and separates usage charges.
- Usage is additional to the annual seat commitment.
- Local Cowork copies require device-level data management.
- Project retention and standalone-chat retention behave differently.
5. Salesforce Agentforce: Best Fit When Salesforce Owns the Process
Salesforce Agentforce is an agent platform for workflows centered on Salesforce business data and actions. It fits a service organization preparing case resolutions or a sales-operations group proposing account updates inside an existing Salesforce process. The strongest reason to choose it is proximity to the records and automation you already maintain. Choose it when Salesforce is the system of record and a Salesforce owner will maintain the agent's actions.
Best for: Salesforce-centered service, sales and employee processes.
Standout: Agents connected to Salesforce records and existing business actions.
Pricing: Agentforce User License is $5/user/month and requires Flex Credits; credits are $500 per 100,000.
Free trial: Salesforce Foundations is listed at $0 as an entry offer; verify the included scope. Agentforce pricing.
Connections and the build path
Agentforce can use custom actions backed by Flow, Apex, external services, MuleSoft APIs and prompt templates. Flow is Salesforce's visual automation system; Apex is its programming language. That provides low-code and code paths, depending on how much of the required process already exists.
For a case-resolution assistant, start with the actions your service operation already trusts. If it can propose a record update using an existing Flow, the main work may be scoping and testing that action. If it must coordinate unfamiliar systems, price the integration and maintenance work as part of the purchase. A builder screen does not remove that engineering responsibility. Custom-action documentation.
Permissions, audit, approvals and retention
Permissions: The action's underlying implementation controls access. For a Flow-backed action, Salesforce documents that the configured permissions, field-level security and sharing settings apply. Inspect the actual execution context, including any Agent User, instead of assuming that all actions run with the employee's personal permissions.
Approvals: The custom-action setting Require user confirmation can make the agent ask before a record change. For a service pilot, enable it on the consequential action and demonstrate rejection as well as approval. A declined request must leave the record unchanged.
Audit: Agentforce Session Tracing stores detailed session data in Data 360. Check the setting in Einstein Audit, Analytics, and Monitoring Setup. It is generally off by default, with a documented exception for organizations with a single data space when Agentforce is enabled. Protect trace access as carefully as source-record access. Session-tracing setup.
Retention: Turning tracing off preserves existing data. Changing the target data space leaves earlier data behind until it is manually deleted. Separately, Salesforce's third-party model zero-retention policy does not mean the underlying Salesforce services keep no records. Apply the relevant service's retention and deletion rules. Agentforce privacy FAQ.
The published purchasing options
The current page lists Salesforce Foundations at $0, Flex Credits at $500 per 100,000, and customer-facing Conversations at $2 each. The $5 User License requires Flex Credits and provides limited CRM-object access. Employee Agentforce add-ons are $125/user/month; Industries add-ons are $150/user/month. Agentforce Max Editions start at $550/user/month and include 2.75 million Flex Credits per organization per year. The comparison also lists Help Agent Resolutions at $2, a different billing unit from staff access. Published Agentforce options.
The add-ons advertise unmetered employee usage within their offer. Ask which users, features and underlying Salesforce licenses qualify. Do not apply the customer-conversation price to every employee workflow, or treat the $5 access license as the full operating cost.
Agentforce is harder to justify if Salesforce is only a peripheral database in your process. In that case, compare the effort of making it the workflow center with a platform designed around the applications employees use most.
- Reuses Salesforce business context and existing automation.
- Supports visual Flow and code-based action implementations.
- Provides action confirmation and detailed session-tracing options.
- Access licenses, credit consumption and underlying products complicate total cost.
- Permission behavior depends on the action's implementation.
- Trace storage and deletion require deliberate configuration and ownership.
6. Airia: Best Fit for Cross-Vendor Orchestration and Governance
Airia is an orchestration, security and governance layer for agents, models and tools across vendors. It belongs on the shortlist when IT needs a common place to define execution controls while departments use different models and business systems. Think of a procurement workflow that extracts a request, prepares an approval brief, routes it to a reviewer and then invokes an approved business action. Choose Airia when the coordination and control problem spans vendors; evaluate a workplace assistant when staff primarily need an interface for their own tasks.
Best for: Mixed-vendor organizations needing shared agent execution and policy controls.
Standout: A visual workflow layer combining models, code, approvals and business connections.
Pricing: Request an enterprise quote; no current universal enterprise price was verified.
Free trial: Demo offered; a standard trial duration was not verified. Airia's enterprise demo route.
Connections and the build path
Airia names integrations across collaboration, business data and cloud systems, including Slack, Microsoft Teams, Outlook, Jira, Salesforce, AWS, Google Cloud and Snowflake. Its integration framework also supports APIs. Confirm the required read or write operation and identity mode for each system. An integration catalog is a starting point for that check, not proof that every process is ready to run. Airia's platform and integrations.
Agent Builder combines model steps with Python code, branches, loops, Human Approval, Form Review and Webhook Approval. It can expose agents through chat, SharePoint widgets, email, schedules, webhooks and tool interfaces. That makes the build path visual for supported components, with code available when the workflow needs custom logic. Versioned drafts provide a way to develop changes without simply replacing the working version. Agent Builder capabilities.
Airia is not a foundation-model vendor in this comparison, and it is not an office suite. The value to evaluate is whether keeping workflow controls above the model choice reduces repeated work for your IT group. If every department has a separate approval and logging arrangement, a common layer may justify its operating cost. If one existing suite already governs the process adequately, adding another platform may only add administration.
Permissions, audit, approvals and retention
Permissions: Airia describes access controls for enterprise sources and policies governing model and tool access. Demonstrate the scope at the connection and project you intend to use, including what happens when an employee loses source access. Specific role and provisioning entitlements should be confirmed for the quoted edition. Data-integration controls.
Audit and approvals: Human Approval nodes can route review by role and context, and the documented approval trail records who reviewed what, when, and what changed. This is a more concrete buying criterion than a general promise of “responsible AI.” Bring a proposed supplier change to the demo and require the approved output to remain linked to the review evidence. System Controls.
Retention: A universal retention interval and complete deletion scope were not established by the public pages reviewed. Obtain written terms for prompts, files, execution logs, backups and external model processing. Airia's residency documentation explicitly separates selected storage locations from processing that may occur elsewhere. A residency choice does not answer a retention question. Data-location boundaries.
The limit to insist on seeing
A cross-vendor control layer can only enforce the paths it covers. Ask Airia to show which existing agents it discovers, which it observes, which it can block, and which must be rerouted or rebuilt to gain enforcement. Those are different outcomes.
For the procurement example, test an approved model call and an attempted alternate path. Then revoke the relevant source credential and observe the workflow's behavior. This is a proposed acceptance test, not a claim that every vendor-hosted agent is automatically governed by Airia.
The quote should identify the platform subscription, model consumption, connections, environments, logging, support and any private deployment requirements. Do not import a price from a different Airia vertical offering or an old plan page. The decision is whether one supported control layer costs less to operate than the separate arrangements it replaces.
- Directly addresses orchestration across models and business systems.
- Visual workflows include approval nodes and custom Python logic.
- Approval evidence is part of the documented workflow design.
- Current enterprise pricing and retention terms need a quote and written confirmation.
- Existing agents may require integration work before a policy can be enforced.
- Adds a platform to operate when a single suite might already cover the process.
How to Choose AI Agents for Enterprise Work
Choose the least complicated platform that passes your workflow's access and action requirements. The decision flips when the process crosses a boundary your current suite cannot adequately control.
If staff mainly need to research, analyze and create deliverables, start with a governed employee workspace. ChatGPT Work and Claude Enterprise are natural candidates, with Gemini Enterprise worth evaluating for Google-centered work. The acceptance test is a useful output the employee can check and reuse.
If staff need a maintained process that takes defined actions, start with the system of record. Copilot Studio belongs early in a Microsoft evaluation; Agentforce belongs early in a Salesforce evaluation. The acceptance test includes what happens after a rejected approval, a missing permission or a failed action.
If the process spans models and systems that need consistent rules, evaluate Airia's orchestration and enforcement coverage. Do not replace a working workplace interface solely to achieve centralized policy. First identify where the shared control should sit and what traffic it must govern.
The architecture can be explained without jargon: a user or event starts work; the agent reads authorized context; a tool prepares or performs an action; a human approves the consequential step; evidence is stored where the investigator can retrieve it. Each arrow between those components is a place to verify identity, scope and failure behavior.

A prompt saying “ask before changing anything” is useful guidance. The purchasing requirement is a control that prevents the change until authorization is satisfied. For a deeper comparison of those controls, read the best AI agent governance platforms guide.
Retention Is a Property of Each Copy
Ask where a sensitive document exists after the task finishes. It may have a source-system copy, an uploaded copy, a local working file, a transcript reference and exported monitoring data. A retention setting for one location should be evaluated for that location.
This matters when an employee leaves. Disabling access should stop future work, while deletion follows the applicable policy for each stored copy. Have IT name the owner of device cleanup, workspace retention, source records and exported logs. Otherwise everyone may assume another system handled the deletion.

The procurement evidence should identify the data class, storage location, retention trigger, deletion route and exception. “Not used for training,” “stored in our region” and “deleted after the retention period” answer different questions. Require the vendor to answer the one your policy asks.
The Ones to Avoid for This Job
Avoid the wrong purchase for a known requirement, even when the product itself fits another task.
Avoid ChatGPT Business if your acceptance criteria specifically require the Enterprise audit, SCIM and retention package. The public Business price is attractive, but it is not a price for those Enterprise controls. Get the correct plan quote before comparing vendors.
Avoid Claude Team if the purchase requires Enterprise custom retention, audit logs and role-based access. Team can suit a smaller working group; the current comparison puts those controls in Enterprise. A higher-usage Team seat does not turn into an Enterprise governance seat.
Avoid Gemini Enterprise Frontline for people who must build the custom agents. Its role is access to provisioned agents, and its prerequisite makes it a different purchase from a small creator pilot.
Avoid the Agentforce $5 User License as a complete cost estimate. It requires Flex Credits and has limited CRM-object access. Missing the usage and underlying-platform requirements makes the apparent bargain meaningless.
Avoid making Airia an automatic extra layer around a process one suite already controls well. Demand a specific benefit: common approval routing, enforceable cross-vendor policy, or less duplicated operation. “More governance” alone is not a measurable outcome.
The Monday Move: Buy One Working Process
Run a proposed two-week pilot with 10 users and 20 representative requests. These are suggested test parameters, not vendor limits. Choose a process such as supplier intake that happens often enough to measure and has a clear owner.
Define the output and the forbidden action
Specify the deliverable, the source records it may use, who accepts it and what it must never change without approval. Record the current manual effort and the quality bar.
Connect the smallest useful scope
Use approved accounts and the minimum necessary source access. Include a deliberately restricted user so the pilot proves denial as well as successful retrieval.
Exercise the failure paths
Reject an approval, remove source access, submit an incomplete request and interrupt a downstream action. Check that the agent does not report success when the business operation failed.
Retrieve evidence and follow the data
Find the initiating identity, tool action, approval and outcome in the available records. Verify the retention route for workspace content, device copies, connected records and exported logs.
Price accepted outcomes
Add licenses, measured usage, integration work, operating effort and human review. Divide by the number of outputs the process owner accepts. Expand only when quality, access controls and ongoing cost meet the agreed bar.
Time saved is a potential benefit, not automatically a cash saving. If a report takes less preparation but more review, include both. If the pilot cannot produce useful evidence after a failed action, the next purchase should fix that gap before adding more users.
Frequently Asked Questions
Is there such a thing as an AI agent?
Yes. An agent can use tools and take steps toward an outcome, rather than only return text. The practical enterprise question is which actions it can take, whose access it uses and when it must stop for review.
What brands deliver enterprise AI solutions?
The six evaluated here are Google, Microsoft, OpenAI, Anthropic, Salesforce and Airia. They span employee workspaces, agent builders and cross-vendor orchestration, so compare the required workflow rather than assuming identical products.
What are the four main types of artificial intelligence?
One common functional taxonomy names reactive machines, limited-memory AI, theory-of-mind AI and self-aware AI. The latter two are theoretical categories, not enterprise purchase tiers. For procurement, integrations and control coverage are more useful distinctions. IBM's taxonomy.
What are the 5 types of AI agents?
A common taxonomy is simple reflex, model-based reflex, goal-based, utility-based and learning agents. It classifies agent designs, not vendors. Buying a platform still requires checking the particular workflow, permissions and operating model. IBM's agent overview.
Who are the big 4 AI agents?
That phrase is not a useful procurement standard. Do not let a fixed brand count exclude the platform that fits your system of record or a cross-vendor control requirement. Build the shortlist from the job and required controls.
Is ChatGPT an agent or LLM?
ChatGPT is a product that uses language models, or LLMs. ChatGPT Work adds task execution using available tools and context. A language model alone and the complete product that acts through connected tools are different things.
What are the top 3 AI agents?
