Fireflies vs Otter in 2026: Sales Calls and Team Meetings
Fireflies vs Otter for sales calls and internal meetings: capture methods, CRM sync, AI features, consent and limits. Choose by team workflow.
Published

Fireflies.ai is the stronger default for sales teams that need meeting notes to drive CRM work; Otter.ai is the better fit for internal meetings centered on live notes, shared context and playback. The detail that changes Fireflies vs Otter for a growing sales team: Otter Business allows 25 billed workspace users, but Salesforce or HubSpot notes sync covers only 5 users.
Features, prices and limits verified against the vendors' live pages on 27 October 2026, including Otter's workspace and CRM allowances. The judgments below compare documented workflows, not a hands-on transcription benchmark.
Fireflies vs Otter: Which Should Your Team Pick?
Choose Fireflies for a sales-led business connecting calls to customer records. Its range of capture methods, paid integrations and HubSpot workflows make it the better starting point when the job is getting information out of meetings and into the systems people use. Check whether you need ordinary notes sync or the more advanced Autofill CRM feature before selecting a plan.
Choose Otter for an internal meeting record people will read, search and replay. Its live annotations, action items, AI Chat and paid unlimited conversation history suit project reviews and cross-functional meetings. Business is especially relevant when meeting volume outgrows Pro, but it is not a route to unlimited imported audio or unlimited CRM-enabled users.
For a founder handling sales personally, Otter Pro remains a credible choice. Its single-user CRM sync allowance may be enough. Fireflies becomes the stronger choice when the workflow expands across several sellers, more meeting platforms or richer CRM updates. A larger feature list alone is not a reason to move an archive everyone already uses.
The table uses standard annual starting prices, excluding conditional promotions. Price does not decide this comparison: the required capture mode, CRM workflow and permission controls do. The capability boundaries come from the Fireflies desktop guide, Fireflies plan page and Otter plan grid.
Otter vs Fireflies: Where Each Records
Fireflies wins for broader documented bot coverage; both offer desktop recording without a bot. A meeting bot is an extra participant that joins the call. Desktop capture instead listens to audio on your computer. Those are different ways of collecting the conversation, with different outputs and responsibilities.
Fireflies AI Transcription: More Ways In, Different Outputs
Fireflies.ai is a meeting assistant that records, transcribes and summarizes conversations. You can invite fred@fireflies.ai, use calendar autojoin, capture Google Meet through its Chrome extension, record through desktop or mobile, or upload an existing file. Its supported bot platforms include Zoom, Google Meet, Microsoft Teams and Webex. That breadth suits a sales team following customers across conferencing systems. Fireflies capture methods.
The desktop Take Notes mode on Mac and Windows captures system audio without adding Fred to the call. It still provides live transcription, notes, AskFred and summaries. But the current guide explicitly excludes saved audio/video files, named speaker labels and Sales Assist from this mode. A transcript that labels voices generically is a different training asset from a replayable, attributed sales call. Fireflies bot-free desktop guide.
For an account executive who needs coaching clips or to confirm exactly who accepted a next step, use a capture mode that retains those artifacts. For a founder who only needs a written recap, the desktop trade-off may be fine. Bot-free describes how capture happens; it does not establish that processing stays on your device.

Otter's Desktop Option Changes the Shortlist
Otter.ai is a meeting transcription and collaboration service with both an autojoining notetaker and desktop capture. Its bot can join Zoom, Google Meet and Microsoft Teams using calendar scheduling; its integrations include Google Calendar and Microsoft Outlook. Its Mac and Windows apps can capture computer audio while you wear headphones, without a bot joining. Otter capture and calendar integrations.
For internal meetings, that means you can keep Otter when an extra participant is unwelcome, provided recording itself is permitted. Check the microphone and system-audio permissions, then verify that a sample meeting captured both sides. A desktop app cannot supply the sound it was never allowed to receive.
For a founder who wants a bot-free notebook that builds on their own typed notes, Granola is a relevant alternative.
Fireflies AI vs Otter: CRM and Workspace Handoffs
Fireflies wins for a growing sales team's CRM workflow; Otter is competitive for a smaller number of connected sellers. CRM means the customer database where your company keeps contacts, deals and next steps. Sending it a meeting summary is useful, but it is not the same as updating the deal's structured fields.
Fireflies' HubSpot integration can attach notes, summaries and action items to contacts, companies and deals, and turn action items into tasks. Its directory also lists Salesforce, Slack, Notion and Zapier, the automation service used to connect apps. Pro lists unlimited integrations, making routine distribution a practical starting point. HubSpot integration, integration directory, plan availability.
Autofill CRM is a separate buying decision. On Business and Enterprise, Fireflies can extract suggested values for HubSpot properties, let you append to or overwrite existing values, and prepare updates for contacts, companies and deals. Its current guide says nothing is sent until you review and approve it. For a sales manager, that review step is where “the prospect mentioned a budget” becomes “the budget field is safe to update.” Autofill CRM guide.
Otter's integration story is broader than basic calendar connections. Its directory includes CRM, project-management and collaboration tools, including HubSpot, Salesforce, Notion, Asana, Jira and Slack. Several advanced connectors carry a Contact sales label, so a directory listing should not be treated as an entitlement on your subscription. Otter integrations.
The clearest self-serve boundary is in Otter's pricing grid: Salesforce or HubSpot notes sync covers one user on Pro and five users on Business. Enterprise lists unlimited. Ordinary notes sync also does not establish access to the full sales coaching product. Otter integration limits.
Otter AI vs Fireflies: AI Features That Change the Work
Otter wins for a shared internal meeting record; Fireflies wins for configurable extraction and follow-up workflows. Both now provide help during meetings, so “Otter is live, Fireflies is only after the call” is no longer a useful distinction.
Fireflies calls its meeting question-answering assistant AskFred, its configurable extraction and follow-up tools AI Skills, and its real-time meeting panel Live Assist. Sales Assist provides suggestions during customer calls, subject to the capture-mode restriction above. Personal Assistant includes Daily Digest, Meeting Prep and Tasks. These names describe different jobs: retrieving a past decision, producing a repeatable summary, preparing for a call, or helping while it happens. Fireflies features, AI feature guide.
The catch is that unlimited transcription and standard summaries do not mean unlimited advanced AI. Fireflies' current credit guide says Pro's 20 credits and Business's 30 credits are one-time team allocations, shared across the workspace and not increased by adding seats. AI Skills, live AskFred queries, Sales Assist and Autofill CRM consume credits. Daily Digest and Meeting Prep are enabled by default and also consume credits. Review those defaults and automatic credit upgrades under billing before inviting everyone. Fireflies AI credits.
Otter's current names include AI Chat, AI meeting workflows, Advanced meeting templates, Otter MCP server and Otter Sales Notetaker. AI Chat can work across meetings; live annotations, action items and audio playback support a shared record people can return to. The sales product adds pre-call preparation, coaching, insights and follow-up work, but the plan grid places Assist: call objectives + live coaching on Enterprise. Do not assume a Pro CRM connection includes that coaching. Otter plans, Sales Notetaker.
Otter also meters AI use: its grid lists 50 monthly AI Chat queries per Pro user and 200 per Business user. A lead who asks occasional questions has a different workload from an operations team querying every customer discussion. Neither subscription should be treated as an unrestricted assistant just because the recording allowance is generous. AI Chat allowances.
For a concrete pilot, ask each product to identify the agreed next step, its owner and the supporting passage from the same approved meeting. A polished paragraph with the wrong owner is a failed handoff, regardless of how many AI features the subscription includes.
Minutes, Storage and Seats: Which Limit Bites First?
Otter Pro wins for retaining a growing paid archive; Fireflies Pro wins when recording volume is the immediate constraint. Storage is how much meeting history you keep. Monthly minutes are how much new material you can transcribe. Buying more of one does not necessarily solve a shortage of the other.
Fireflies Pro lists unlimited transcription and summaries with 8,000 stored minutes per seat. Those storage minutes are a retained total, not a fresh allowance each month. Business lists unlimited storage. Uploaded files and dialer recordings have a separate rate limit: 3,000 minutes per user, per source, per month, with a team ceiling of 150,000 minutes per source. Its rate-limit guide excludes live bot meetings, the Google Meet extension and mobile in-person recording from that upload allowance. Fireflies plans, rate-limit rules.
Otter Pro offers 1,200 transcription minutes per user per month, equivalent to 20 hours, and a 90-minute conversation limit, with unlimited storage. Its meeting and import transcription draw from a shared allowance; it also caps imports at 10 files per user per month. Business instead lists unlimited meetings and in-app recordings, with 6,000 imported-file minutes per user per month, a four-hour conversation limit and three concurrent meetings. Unlimited file count does not remove the imported-minute limit. Otter usage grid.
That split matters during onboarding. A team recording fresh weekly meetings and a team importing a historical call library are purchasing different workloads, even if both select Business. Check workspace size too: Otter Pro allows five billed users and Business allows 25. A paid seat, a retained recording and a CRM-enabled user are separate things.
Otter AI Free: The Monthly and Per-Meeting Limits
Otter Basic gives you 300 monthly transcription minutes, a 30-minute limit per conversation, three lifetime file imports, and access to the 25 most recent conversations. It is a useful trial of the workflow, but a normal hour-long review already exceeds its per-conversation limit. Do not judge suitability from the monthly total alone. Otter Basic limits.
Is Fireflies AI Free?
Yes, but its unlimited-transcription offer has a condition. For accounts covered by the policy beginning 1 September 2026, eligible meetings get unlimited transcripts when Auto-join is enabled; disabling it leaves the default three-meeting transcription allowance. The invite-only option does not unlock unlimited transcripts. Free storage is currently listed as 400 minutes per team, with limited AI summaries. Free transcription conditions, current storage scope.
That is a poor reason to turn on broad automatic recording. Choose the recording policy your business needs first, then the plan that supports it. For a wider shortlist, the AI meeting note-taker comparison puts seat requirements alongside other buying options.
Admin, Consent and Data Use
Fireflies has the clearer documented set of bot-free notification options; neither product's installation settles consent for you. The operational question is who can start capture, who is told, where the notes go and who can read them afterward.
Fireflies' desktop guide documents an audio consent message, a camera notice and a meeting-chat message. The chat option is available on Mac, not Windows, and the first-use consent options are enabled by default. Workspace admins can also set team autojoin scope and recap-email audiences in Settings → Team → Recording & Privacy. Set these deliberately before a sales rollout. Desktop notifications, team controls.
Otter's desktop app can automatically post a recording notification to Microsoft Teams chat. Its Business plan includes activity logs and usage analytics; Enterprise adds controls such as custom retention, recording and sharing permissions, export permissions and recording disclaimer emails. SSO, centralized sign-in, and SCIM, automated user provisioning, each carry a minimum 100-user license in Otter's Enterprise grid. That condition deserves attention from a smaller company whose IT policy requires them. Otter admin plan grid.
Fireflies lists SSO + SCIM, private storage and custom retention on Enterprise. Get the required configuration into the proposal; a public feature label is not a substitute for your contractual requirements. Fireflies Enterprise features.
There is also a meaningful difference in the published data-use wording. Fireflies' terms say it will not use User Content to train or improve generative AI models, while allowing derived usage and statistical data for internal purposes. Otter's privacy policy describes training its proprietary AI on de-identified audio and transcriptions that may contain personal information. Its security page separately says outside AI service providers do not train on customer data. Those are distinct commitments; review the contract applicable to your organization rather than collapsing them into a generic “secure” badge. Fireflies terms, Otter privacy policy, Otter security explanation.
For a founder, the practical baseline is straightforward: inform participants, obtain the permission your use requires, keep sensitive meetings outside automatic capture, and limit the recipients of notes. Both vendors place notice or consent responsibilities on customers. Fireflies terms, Otter terms.
Switching From Otter to Fireflies, or the Other Way
Switch when a named workflow fails, and preserve the old archive until the replacement is proven. Moving your future meetings is easier than recreating the context around old recordings.
Otter Pro supports audio and transcript exports, including document and subtitle formats; Business adds bulk export. Fireflies Pro lists downloads of transcripts, summaries and recordings. Those exports preserve useful material, but do not assume they reproduce permissions, shared links, comments or CRM mappings in the destination. Verify what your selected export contains before canceling. Otter export features, Fireflies downloads.
If you switch from Otter to Fireflies for sales, validate the CRM record and the capture mode before bulk importing history. If you switch to Otter for internal collaboration, make sure the people who rely on old meeting links can still find their source material. Imported files also draw on the destination's separate allowances.
Do not switch just to remove a visible bot: both already offer desktop capture. Do not switch for an unverified accuracy claim, or because a new AI label sounds more advanced. Stay when your current system captures the right conversations, preserves the evidence you need and gets decisions to the right people. The Otter alternatives guide is useful when a different job, such as a personal notebook, is driving the change.
Set Up the First Week
Pilot the entire handoff, from permission to a usable next step. One approved customer call and one internal review will reveal more than enabling every integration at once.
Choose capture and notification settings
Decide whether you need a replayable recording or written notes. In Fireflies desktop, review Meeting Preference → Recording; in Otter desktop, review recording indicators and meeting-detection settings. Confirm the participants receive the intended notice.
Connect one destination
Use a restricted CRM record or an appropriate internal channel. Check who can read the output. For Fireflies HubSpot Autofill, inspect suggested values and append/overwrite behavior before approving the update.
Check the decision, then expand
Have the meeting owner verify names, commitments and the next-step owner. Review minute, storage and AI usage. Enable broader capture only after that result meets your standard, and turn off the old tool's autojoin to avoid duplicate capture.
Frequently Asked Questions
What are some similar apps to Otter AI for transcription and meeting notes?
Fireflies.ai is the direct alternative covered here. For a broader shortlist, use the Otter alternatives guide. Start with the unmet need: CRM handoff, shared meeting records, capture method or personal note-taking.
How accurate is Otter AI transcription?
This comparison does not establish an accuracy percentage or rank either product's transcription quality. A defensible choice requires checking representative conversations, especially names, technical vocabulary, speaker attribution and commitments. Review important outputs against the recording when one exists.
Does Otter AI work with Zoom?
Yes. Otter documents a notetaker that joins Zoom meetings, plus desktop recording without a bot. Choose the method that fits your meeting policy and check the resulting record. Otter capture options.
Can you use Otter AI without anyone knowing?
Otter supports desktop recording without a bot appearing as a participant. That does not remove your obligation to notify participants and obtain required consent. The participant list alone is not a recording policy. Otter notice and consent terms.
Is Otter.ai being sued?
Yes. In the federal privacy litigation, an order dated 13 August 2026 granted Otter's motion to dismiss in part and denied it in part. The case concerns allegations about recording and data use; that order is not a final finding of liability. Court order.
Which is better, Otter.ai or ChatGPT?
For this purchase, choose the meeting-capture workflow first. Otter documents an MCP server, a connection through which AI tools including ChatGPT can access meeting knowledge. They can be complementary parts of a workflow; this comparison does not establish a separate head-to-head recording verdict. Otter's MCP description.
Which is better, Otter or fireflies?
Fireflies is the stronger default for broader capture and a growing sales team's CRM workflows. Otter fits internal live notes, collaboration and playback. A founder with one CRM-connected user may find Otter Pro sufficient; a team needing more connected sellers must check the sync allowance separately from seats.
How much does Otter AI cost a month?
The comparison table gives the standard Pro monthly equivalent when billed annually. Monthly billing and conditional offers differ; use the Otter pricing guide and live vendor page for the full ladder and current checkout terms.
Does Otter AI sell your data?
Otter's security page says it does not sell your data. Its privacy policy separately describes proprietary-model training and opt-out rights concerning targeted advertising and legally defined data sales. Read those policies together; “no selling” should not be interpreted as “no model training.” Security statement, privacy policy.
