folk CRM Review
folk CRM review: who it fits, current plans, AI features and documented limits, with a clear verdict for founders, agencies and small sales teams.
Published

folk is a good fit when sales depend on remembering conversations and following through with people. The folk CRM review verdict: shortlist it for founder-led sales, agencies, partnerships and fundraising, but plan carefully around Standard's limit of the last 30 shared interactions and Premium's deal-management features. A team buying primarily for sales reporting should compare heavier options before committing.
Verified against folk's live product, pricing and help pages on 1 November 2026. This evaluation uses public documentation and workflow analysis, without a signed-in product test. The interaction-history limit comes from folk's pricing page.
What folk Actually Is
folk is a customer relationship management system, or CRM: a shared place to organize people, companies, conversations and the work needed to move a relationship forward. Its basic structure will be familiar to a spreadsheet user: records hold contact details, groups organize a workflow, and views show those records as a table or a pipeline. Email, calendar and messaging connections bring context into that shared record; campaigns and sequences support outreach. For an agency owner, the useful change is that a prospective client can have a visible owner, a conversation history and a next action instead of being scattered across an inbox and a spreadsheet. folk's product overview and data-model guide describe the underlying capabilities.
Who folk Fits and Who Should Skip It
folk fits a business whose sales process depends on knowing the person: what they need, who knows them and what was promised. The recommendation turns on the record you need to manage, how follow-up happens, which reports decide your next move and how other systems must connect.
This comparison maps those requirements to a shortlist. It is a buying judgment based on the linked documentation, rather than a performance ranking.
Founders and small agencies: folk is worth shortlisting when leads arrive through introductions, past clients and direct conversations. Your practical problem is remembering the brief and making the next contact. A shared relationship record addresses that directly. Once the same client has overlapping proposals, renewals or projects, evaluate Premium's Deals before choosing a plan.
Partnerships and fundraising: folk's groups and views suit a process organized around relationships. A partnerships lead can separate prospective collaborators from active partners. A founder can organize investor conversations by stage and keep context beside the contact. Evaluate specialist fund administration and investor reporting separately from this contact workflow.
Sales managers: skip folk as the default choice when the buying brief starts with forecasting, reporting periods, rep performance and automated handoffs. Start with our Pipedrive review, then demonstrate the report and workflow you require in each candidate. A visible board alone does not establish that a CRM can run your sales meeting.
Teams joining marketing, sales and service: HubSpot deserves the earlier evaluation when website inquiries, marketing campaigns and support tickets need to operate around shared customer data. Its own CRM page describes those connected functions. Do not assume a lightweight relationship tool will remove the need to coordinate your wider customer operation.
folk vs Attio: Choose the Record Structure You Need
folk is the clearer starting point when people, companies and their conversations describe the work. Attio deserves a closer look when your business needs a more deliberate model of interconnected entities, such as subscriptions attached to customers or referral partners attached to opportunities. Attio documents custom objects and relationship attributes, with custom creation available on its Pro and Enterprise plans. Attio's data-model guide.
The tradeoff is responsibility. A flexible data model helps only when somebody can define what belongs in it. For a founder leaving spreadsheets because nobody maintains them, buying more configurability can recreate the same maintenance problem inside a different interface.
Contact Capture: Turn Relationships Into Usable Records
folk's strongest starting workflow is turning scattered contacts into a shared list that preserves why each person matters. Importing names is useful; importing names with an owner, relevant context and a next action is what makes the list usable for selling.
Consider an agency collecting introductions from former clients, browsing potential partners on LinkedIn and receiving inquiries by email. Those contacts need a common record, but they do not all belong in the same sales stage. Separate the identity of the person from the process you are running with them.
Start With a Clean Spreadsheet Import
folk supports importing people and companies from spreadsheet files and mapping your columns to its fields. Its import guide recommends separating first and last names and reviewing the field mapping before completing the import. People can be linked to their associated companies during that process. folk's file-import guide.
For an agency, keep a person's email and company as contact information; treat proposal status and relationship owner as workflow decisions. Avoid importing every abandoned column simply because it exists. A field that nobody uses to decide or act adds work to every future update.
The distinction between shared and local fields matters. Native fields, such as contact details, travel across the workspace. Custom fields belong to their group. A person can therefore have a sales status in a prospect group and a different status in a partnership group. Updating the custom status in either group does not make it a universal status for that person. folk's field-scope rules.
The folk CRM Extension Captures Contacts Where You Find Them
folkX, folk's Chrome extension, captures contacts from LinkedIn and Sales Navigator, supported social sites and Gmail. It can also capture companies from their websites. You can select the destination group and add context during capture, rather than returning later to reconstruct why a name was saved. folkX documentation.
A useful partnerships workflow is to capture the person, add a note explaining the potential collaboration, and assign a reminder for the next action. The payoff is preserving the reason for the connection while it is fresh. A large contact list with no reason to contact anyone is still an unfinished research task.
There is a setup dependency: folk's current instructions say the desktop app must be installed and kept open in the background for the extension to work on socials. Its integration FAQ also says LinkedIn does not have native automatic syncing. Treat browser capture as a deliberate collection workflow, not a promise that your entire LinkedIn network continuously mirrors into the CRM. Extension setup and integration FAQ.
Enrichment Helps Complete a Contact, but Qualification Still Comes First
folk's 1-click Enrichment can find email addresses and phone numbers and add details such as a job title, company name or contact URL. It checks external data providers; the Research Assistant handles company research separately. folk's enrichment guide.
For an agency owner, enrich the people who match the service you sell before building an outreach campaign. The sequence of work matters: decide why the contact is relevant, confirm the company and role, then find the channel for a useful conversation. Enriching an unqualified list produces a more complete unqualified list.
Inputs also matter. folk recommends combining names with company or LinkedIn information, and its docs say results are limited when you supply names alone. Newly enriched information is added rather than replacing existing data. Review an old and a newly found address before using either for an important client conversation.
Pipelines: Track the Person or Track the Opportunity
folk offers pipeline views, but a person moving through stages and a deal moving through stages represent different work. This is the most important plan distinction for an agency leaving spreadsheets.
A contact pipeline can answer whether a potential partner has been approached, met or activated. Separate deal records become useful when the same company has several commercial opportunities with different owners, values or closing dates. folk's Deals support those independent records and link them to people and companies. folk's Deals guide.
Imagine a design agency discussing a rebrand and a maintenance renewal with the same client. A status attached only to the client cannot clearly express that the rebrand is awaiting approval while the renewal is agreed. Separate deals preserve that distinction without pretending the client has a single commercial state.
Choose what the board represents
Use a people or company pipeline for relationship progression. Use Deals when opportunities need independent status, value, owner and close date.
Keep the relevant people in the same group
folk's Deals guide requires linked people and companies to belong to the group where the deal was created. Organize the group around the workflow that collaborators need to see.
Put the next action beside the opportunity
Add a note or assigned reminder to the deal. A stage should describe the buyer's progress; the reminder should describe what your business must do next.
These steps follow the documented deal workflow. Standard includes pipeline management, while Premium adds Custom objects & Deals. Do not choose Standard on the assumption that every board shown in a product demonstration uses the same underlying records.
For partnerships, a relationship pipeline may be enough. For an agency with overlapping proposals, Premium is the more relevant evaluation. For a manager buying a forecast, the next question is whether the resulting report answers the management question, not whether the cards look tidy.
Email Campaigns and Sequences: Useful Follow-up With Setup Conditions
folk brings personalized campaigns and automated sequences into the contact workflow. A campaign suits a selected audience receiving a message now; a sequence suits planned follow-ups over time. Premium is required for sequences, and sender setup is a separate requirement.
An agency can use a campaign to share relevant work with past clients, reviewing each recipient's version before sending. A partnerships lead can use a sequence for a planned invitation and reminder. Treat a sensitive investor discussion as a personal conversation even when the CRM helps prepare it. folk's Messages guide.
Sequences require a Custom Sender. folk distinguishes this from a Gmail Sender: the Custom Sender uses an authenticated domain and folk's sending provider, while Gmail Sender sends through your Google account. Paying for Premium does not remove the sender setup step. Sender options and sequence requirements.
The operational detail that matters most is reply handling. The sender address also needs to be connected under Settings > Accounts so replies can be tracked. Replies arrive in the external email inbox, rather than the folk Messages inbox. That distinction should be part of your team's handoff: decide who reads and answers the response, not just who launches the campaign.
Check the Whole Sequence Before Sending
folk supports up to 10 steps in a sequence. Its default Stop if replies condition depends on reply tracking, and its guide warns that disconnecting email sync during review removes that condition. Once a sequence starts, you cannot change its written content or delete individual stages. folk's sequence guide.
The buyer implication is straightforward: review the sender, recipient list, message content and reply connection together. A typo in a later email or a stale offer deserves the same attention as the opening message. Do not make a live sequence your drafting surface.
This makes folk a plausible fit for targeted relationship follow-up. A team buying primarily for sustained outbound volume should prove its sending workflow, reply handling and available credits before moving its prospecting process.
AI and Integrations: Keep Context Useful Between Conversations
folk's AI features address specific jobs inside the relationship workflow. Evaluate each against a task you already need done, such as preparing for a client conversation or extracting a decision from notes. An AI label alone does not establish that your records will be accurate.
Use folk's Named Assistants for Defined Jobs
folk's Follow-up Assistant identifies quiet conversations with a pending action and suggests a reply. For email, the docs require at least 2 exchanges in the past 2 months, including a message from you and a message from the contact. That makes it relevant to an existing conversation; do not assume it will chase every unanswered cold email. Follow-up Assistant.
Recap Assistant summarizes recent interactions and notes for a person, company or deal. An account manager preparing to call a returning client can use the recap to recover context, then check the underlying discussion before making a commitment. Recaps are generated on demand, visible to the user who generated them and refreshed by generating again. Recap Assistant.
Research Assistant enriches company profiles and produces research notes, with instructions you can customize. For a partnerships lead, a useful research brief asks how the company might fit the proposed collaboration. The result should support preparation, not become an unreviewed claim in an outreach email. Research Assistant.
Workflow Assistant can respond to a person being created or a field being updated, apply filters and send an email. With AI personalization enabled, it uses the latest shared interaction and public note; private notes are excluded. An agency could use a qualified-lead status to trigger an appropriate introduction, after checking that the status reliably means the person is ready to receive it. Workflow Assistant.
Magic fields (AI) is the label on the pricing page; the current help guide calls the feature AI Fields. These fields can clean, extract or categorize information using a prompt and record context, with a web-search option and automatic filling when relevant data changes. A practical agency example is extracting the client's stated concern from notes into a field that a colleague can review. AI Fields documentation.
The strongest combined workflow is human-led: capture the conversation, use an AI Field to structure the useful detail, review it, then use a recap or follow-up suggestion when it is time to act. The human still decides whether the client is qualified, what the business can promise and whether the message is appropriate.
Integration Names Do Not Guarantee the Action You Need
folk lists Gmail, Outlook, WhatsApp and automation connections, while its pricing page lists Zapier and Make apps. Its API, a way for software systems to exchange data and actions, covers people, companies, deals, notes, tasks, interactions and other resources. API access is a Premium feature. Integration overview and API documentation.
Separate the paths during evaluation. Connecting an inbox brings conversation context into folk. A packaged automation connector exposes selected triggers and actions. A custom API integration requires someone to build and maintain the connection. Those are different purchases even when the same app names appear in a directory.
For example, an agency wanting a signed proposal to create a deal should verify that exact action. The existence of Zapier, Make or an API does not mean the ready-made connector supports every record type. That limitation becomes a purchase issue when nobody in your business owns custom integration work.
folk CRM Pricing: Standard or Premium?
folk Standard fits contact-centered relationship tracking and campaigns. Premium is the relevant starting plan for an agency or sales team that needs separate Deals, email sequences, dashboards or API access. The current USD options are below. Source: folk pricing.
Choose by the workflow you need to run. If every client needs independent opportunities and reports, the Standard price is not the relevant purchase price. If the job is maintaining a warm network and sending selected campaigns, paying for those extra features may not solve a current problem.
The Standard history limit also deserves attention for an established agency: the pricing table lists only the last 30 interactions under interaction sharing, versus full history on Premium. Enterprise adds group-level permissions and security controls for internal or sensitive interactions; evaluate that packaging if access separation is essential.
folk offers a 2-week trial with Premium features and no credit card required. Its pricing FAQ says an account is blocked after the trial without an upgrade, while data is not immediately deleted. Use the trial to evaluate the plan you intend to buy, because Premium access can conceal the restrictions of Standard. Plan details and trial terms.
The Limitations That Can Change the Purchase
folk's documented limits are specific enough to test against your actual work. These are stronger purchase criteria than a general impression that the product feels simple.
Reporting Needs a Demonstration With Your Reporting Period
folk's Dashboards guide describes customizable charts, filters and measures. Its current-version limitations also say all charts display all-time data, the Sum formula is limited to number custom fields, and dashboard export is unavailable apart from a print-to-PDF workaround. Dashboard documentation.
The guide also describes charts based on closing dates. Require a demonstration of the report you need: revenue for a chosen period, by owner, in the form your business meeting uses. Until that works, a dashboard screenshot is insufficient evidence for a reporting-led purchase.
Deals Have a Packaged-Connector Restriction
folk's Deals guide explicitly says it is not possible to create or update Deals through Zapier and Make. That is separate from the API, which documents Deals as a supported resource. Deals restrictions and API scope.
For an agency expecting contracts or forms to drive deal updates, this can turn a simple connector setup into development work. Keep the distinction in the buying conversation: the data may be accessible through the API while the packaged connector still lacks your required action.
Enrichment Credits Are Not a Contact Count
folk's enrichment guide gives Standard 500 credits per month and Premium 1,000. Finding an email consumes 1 credit; finding a phone number consumes 4. Unsuccessful enrichment is credited back, and the allowance renews from the paid-plan signup date rather than the calendar month. Enrichment credit rules.
A team seeking phone numbers therefore uses its allowance differently from an agency mainly completing email details. Describe the information you need before judging whether the allowance is sufficient. Do not read a credit allowance as a guarantee that the same number of complete contact profiles will be delivered.
Connected Email Is Not a Complete Mailbox Mirror
folk's integration FAQ excludes unread messages and interactions older than 3 years from Google imports, as well as emails with more than 20 recipients. It also says changes made in folk do not synchronize back to Gmail. Sync exclusions.
For a founder relying on long-standing investor or client relationships, import a known conversation and check what appears. Keep important historical context in an intentional note when the original interaction is outside the import scope. The presence of an account connection is not proof that every relevant exchange is available.
Suppressed Recipients Can Still Consume Sending Allowance
folk's Messages guide says previously bounced or unsubscribed contacts can remain in the recipient list. An attempted send to them will not be delivered, but still removes a message from the monthly allowance. Recipient and credit behavior.
An agency reactivating an old client list should clean the audience before launching the campaign. This is a concrete reason to review recipients rather than treating the send button as a list-cleaning process.
AI Output Needs Source Records and Operational Ownership
folk's Recap Assistant is not a continuously updated shared brief: each user generates their own recap, and corrections require updating the underlying context and generating again. The Workflow Assistant can be disabled when its credits run out; deleting a field used by a workflow can also make it inactive. Recap limitations and workflow troubleshooting.
Assign someone to own those conditions. A small team can benefit from assistance without treating a generated summary or an active-looking automation as a substitute for checking the next client action.
folk CRM Review Verdict: Buy for Relationship Work
folk earns a place on the shortlist when the business needs shared context and reliable personal follow-through. Buy only if the plan you can justify supports the actual record, message, report and integration you need. Any failed requirement should change the choice, even if the contact interface appeals to you.
Founder-led sales: choose Standard when the work is a warm network, contact stages and selected campaigns. Evaluate Premium when the same account needs independent opportunities or the team needs the reporting and API features behind that plan.
Agencies and consultancies: start the evaluation on Premium if proposals, renewals and client projects overlap. The value is making those opportunities explicit and keeping the surrounding relationship understandable. Skip folk if your required reporting or contract-to-deal handoff cannot be demonstrated without work you are unwilling to maintain.
Partnerships teams: folk is a strong fit when a shared contact record and clear next action are the core operating system. Capture why a partnership matters, assign ownership and keep the conversation context current. Do not mistake filling the database for advancing the partnership.
Founders fundraising: use folk to organize investor relationships and follow-ups when that is the immediate problem. Evaluate a specialist system if the requirement expands into fund operations or formal investor reporting. A contact pipeline does not establish those capabilities.
Sales teams with a dedicated manager: compare Pipedrive first when deal discipline and forecasting drive the purchase. Consider HubSpot when the requirement spans marketing and service, and Attio when a tailored data model is central. Our best CRM for small business guide gives a broader route through those choices.
For the next working session, take a real prospect from your spreadsheet into the intended folk group, capture the relationship context, model the opportunity and inspect the exact report or handoff you need. Prepare a sequence only after confirming the sender and reply connection. Make the plan decision at the first required step that fails, rather than after building an attractive but incomplete database.
