Fireflies AI Review
Fireflies.ai for small teams: transcripts, summaries, search, CRM handoffs, plan limits and privacy. When to choose Granola or Otter instead.
Published

Fireflies.ai is worth paying for when a 5 to 20 person team needs customer calls to become a shared, searchable record. This Fireflies AI review recommends Business for a growing call archive and manager oversight, Pro for straightforward notes, and a different capture method when keeping recordings is the wrong fit.
Fireflies is a meeting recorder with a transcript, summary and retrieval layer attached. Its useful output is a conversation you can revisit, turn into a follow-up, or connect to a customer record. The buying question is whether that record survives the handoff from the person on the call to the person responsible for the next action.
Pricing, capabilities and policy wording verified against the vendors' live pages on 7 November 2026. The judgment here rests on capture method, retained evidence, retrieval, CRM handoff and operating limits. No transcription-accuracy test was performed.
Who Should Use Fireflies, and Who Should Skip It?
Fireflies fits a sales lead, founder or services manager whose colleagues repeatedly ask what a customer agreed to. A shared meeting record helps when the account changes hands, an implementation promise needs checking, or several calls must be read together before a renewal.
Alternative prices come from Granola's plan page and Otter's plan comparison. Otter's conditional promotional prices are excluded.
Pick Granola When the Personal Note Is the Product
Granola is the stronger starting point for a founder who wants to write a few thoughts during a conversation and leave with organized notes. Its design centers on your notes, with conversation context filling them out, and notes remain private until shared.
The trade-off is deliberate: Granola does not retain an audio recording for later replay. Its security explanation also says you start it manually. That fits attentive personal note-taking; it is a weaker choice if the requirement is an automatically captured, replayable customer-call archive. Bot-free capture still needs an appropriate participant-notification policy.
The Granola AI review covers that notebook-first choice in more depth. Do not switch solely to remove a visible bot: Fireflies also has desktop capture, with consequential limitations below.
Pick Otter When the Shared Live Transcript Comes First
Otter.ai fits colleagues who want to follow the conversation as text, review audio, and organize conversations in shared channels. Its live transcription and playback make it a sensible shortlist option for internal reviews where the transcript itself is the working document.
Pro is constrained to 1,200 recording minutes per user per month, 90 minutes per conversation, and five workspace members. Business raises the workspace ceiling to 25 and offers unlimited meetings and in-app recordings, but its listed CRM notes-sync allowance is five users. Count the people who need that connection separately from the people who need access to notes.
The Fireflies vs Otter comparison expands that decision. Neither product wins an accuracy contest merely because it offers more features.
Capture: Choose the Record You Need Before the Call
Fireflies can join Zoom, Google Meet and Microsoft Teams as a meeting participant, or capture through its desktop app. Those methods do not leave the same evidence behind.
For the bot route, invite fred@fireflies.ai or enable calendar autojoin. Where the meeting platform requires approval, someone must admit the notetaker. That dependency matters on a customer-hosted call: an invitation is not proof that capture started.
For desktop capture, Take Notes uses your computer's system audio without adding a participant. It produces a transcript and summary, but does not save separate audio or video files. Speakers appear with generic labels rather than participant names, and Sales Assist requires the bot. These are documented in the desktop capture guide.
For a sales manager reviewing how an objection was handled, use a capture mode that preserves the recording. For a founder who only needs a written reminder after an internal discussion, desktop notes may be sufficient. Calling both modes “recording” hides the difference that matters after someone disputes a number or speaker attribution.

How to Use Fireflies AI Without Recording Everything
Fireflies lets admins set the team's autojoin scope and recap-email audience in Settings → Team → Recording & Privacy. Its team settings guide documents invite-only, hosted-meeting and broader capture options. The default allows teammates to choose.
Limit the first rollout
Choose Only when invited for a controlled pilot, or restrict automatic capture to meetings your team hosts. Agree which conversations belong in the archive before connecting everyone's calendar.
Set who receives the recap
Choose the intended recap-email audience explicitly. Review meeting access separately: an email recipient and someone with permission to open the underlying record are different decisions.
Check an approved call end to end
Confirm capture begins, tell participants what is being captured, and inspect the resulting transcript and recording. Check access with an intended teammate before expanding the rollout.
Summaries: Useful When They Preserve the Commitment
Fireflies turns a call into an overview, structured notes, timestamped chapters and action items associated with speakers. The value is that a colleague can find the commitment without replaying the entire conversation.
Consider an implementation handoff. A customer says the integration is needed before launch, while the salesperson promises only to check feasibility. A useful recap must preserve that distinction. “Integration required before launch” is a requirement; “integration will ship before launch” is a commitment. A fluent summary that collapses them creates work instead of removing it.
Open the meeting's Notes tab, use Customize Notes to choose a suitable template and note length, and review the action items against the timestamped source. If a name or speaker is wrong, correct the transcript and regenerate the summary. Fireflies documents those controls in its summary customization guide.
Changing note length or switching built-in templates does not consume AI credits. Custom summary sections can. Start with a standard template that produces a usable handoff before adding extraction instructions to every call.
Fireflies AI Reviews: What Counts as Accuracy Evidence?
Fireflies' homepage advertises an accuracy percentage, but that does not establish performance on your customers' accents, product names or overlapping speech. This review does not assign an accuracy score or repeat a vendor percentage as a measured result.
Fireflies lists transcription in 100+ languages, while Business separately includes Multi-language Mode. Language coverage is an eligibility check, not an accuracy guarantee.
For a useful evaluation, inspect names, amounts, decisions and next-step owners from representative approved calls. Check whether the summary distinguishes a suggestion from a promise. A transcript can look readable while failing the business decision that justified recording it.
Search: Find the Decision Across Meetings
Fireflies becomes more valuable when you use its archive to retrieve a decision, rather than simply accumulate recaps. Search is the reason to keep meeting history organized after the first week.
Its Meetings area separates My Meetings from All Meetings, which includes meetings available to you. Local search filters the current channel. Global Search searches meeting titles and keywords, while filters narrow results by participant or date. The channel's AskFred panel answers questions using meetings in that selected channel. The meeting-library guide shows those distinctions.
For a customer-success lead preparing a renewal, organize the relevant account discussions, search the disputed feature, and ask what delivery expectations were discussed. Then open the underlying conversations before sending the customer a definitive answer. The generated response is a shortcut to review, not an agreement signed by the customer.
The quiet failure mode is scope. AskFred working on the wrong channel can answer a narrower question than you intended. A missing meeting may also be outside your access. Check the channel, dates and accessible source meetings before interpreting “nothing found” as “never discussed.”
This is also why retaining every call without an access policy is a poor implementation. A searchable archive should make the right evidence easier to retrieve for the right people.
CRM Handoff: Separate Notes Sync From Field Updates
Fireflies can send meeting information into a CRM, a customer relationship management system, so the next person handling an account has context. Its integrations include HubSpot and Salesforce, but the detailed workflow below is specifically HubSpot's.
The HubSpot integration page describes notes, summaries and action items attached to contacts, companies and deals, along with task creation. This is already useful: an account manager can open the customer record and find the conversation instead of chasing a salesperson for notes.
Autofill CRM is a different operation. It extracts suggested values for CRM properties, including custom fields, and supports appending to or overwriting existing values. Fireflies' HubSpot Autofill guide places it on Business and Enterprise and says nothing is sent until you review and approve it.
For a sales lead, start with a field such as the customer's stated next step. Review the proposed value and the destination record, then approve it. Be more cautious with fields such as committed budget: a hypothetical spending range is not the same as an approved budget.
That review step is a strength, but it is still work. Buying Fireflies does not make an account owner unnecessary. The product earns its place when finding and preparing the update takes less effort than reconstructing the conversation manually.
What Fireflies Costs for a 5 to 20 Person Team
Fireflies Business is the default recommendation for this reader when keeping a growing archive and reviewing team conversations are central requirements. The live Fireflies pricing page, checked on 7 November 2026, lists Business at $19 per seat per month billed annually, or $29 on monthly billing, with unlimited storage, conversation intelligence and admin team analytics.
At the annual rate, five seats are $95 a month equivalent, ten are $190, and twenty are $380. The corresponding annual invoices are $1,140, $2,280 and $4,560, before tax or AI add-ons. Ten seats billed monthly instead cost $290 a month.
Pro is sufficient when the job is transcripts, summaries, video and ordinary integrations. It costs $10 per seat per month billed annually, or $18 monthly, and includes 8,000 stored minutes per seat. Video is already included: it is not a reason on its own to upgrade to Business.
Here is the storage decision in a concrete scenario. At 40 retained one-hour calls per seat each month, you add 2,400 minutes. Pro's 8,000-minute allowance represents about 3.3 months of that history. This is retained capacity, not a fresh monthly transcription allowance. A ten-seat team pays $90 more per month equivalent for Business at annual rates; keeping the archive and adding manager analysis may justify that difference. Headcount alone does not.
For a cost-per-call illustration, ten Business seats handling 40 distinct calls each produce 400 calls in a month. The $190 base subscription works out to about $0.48 per captured call. This is arithmetic, not measured savings; it excludes AI add-ons and the labor needed to verify follow-ups. Shared calls must not be counted once per attendee.
The Fireflies pricing guide covers the wider plan ladder. The remaining purchase question is the advanced-AI bill, which the seat price does not settle.
The Limitations That Can Change the Decision
Fireflies has useful breadth, but its recording, AI and governance limits need separate decisions. “Unlimited” on one line does not remove the boundaries on another.
Advanced AI Can Create an Additional Bill
Fireflies' AI credit guide separates standard transcription, notes and recap emails from credit-consuming advanced features. It also says Daily Digest and Meeting Prep are enabled by default and consume credits.
The guide says paid accounts exhausting their starting balance are automatically subscribed to $5 a month for 50 credits; existing credit subscribers can be moved to a higher package. Review Settings → Billing and disable unwanted automatic credit upgrades. Disable unwanted Digest and Meeting Prep activity through AI Skills settings. Unused purchased credits do not roll over.
There is an unresolved documentation conflict: the central credit guide calls the included Business credits a one-time team pool that does not grow with seats, while the newer Business feature guide describes them per seat. Both describe a one-time allocation. Do not budget a recurring allowance or multiply it by headcount without written confirmation.
Unlimited Storage Does Not Mean Unlimited Session Length or Imports
Fireflies Pro has a two-hour recording limit per meeting; Business raises that to three hours. A long workshop can exceed the session limit while the workspace still has storage available. The Pro feature guide confirms the lower-tier boundary.
Imported recordings have another limit. Fireflies' rate-limit guide specifies 3,000 minutes per user, per source, per month, with a 150,000-minute team ceiling per source. Live notetaker meetings are excluded from that import allowance. A company bringing over a historical call library should plan the migration separately from its ongoing meeting capture.
Is Fireflies AI Safe?
Fireflies publishes security controls, but suitability depends on what you capture, who can access it and how long you keep it. Its security page lists SOC 2 Type II and encryption, while placing healthcare BAA availability on Enterprise with Private Storage. Those vendor commitments are inputs to a purchasing review, not permission to record every conversation.
Fireflies AI Security Concerns: Retention Is Not Zero Everywhere
Fireflies' privacy policy uses “Zero Data Retention” for third-party processing of meeting content: providers must not retain it after processing or use it for model training. It does not mean the recordings, transcripts and summaries in your Fireflies workspace vanish after the call. A searchable archive necessarily keeps material.
The policy says account-related personal information remains while the account is active and is deleted within 30 days of closure; it separately describes retention of other information for its stated purposes. Custom retention is an Enterprise feature. Do not substitute an account-closure statement for a meeting-by-meeting deletion policy.
The policy also distinguishes meeting content from identifiers and website activity used in advertising disclosures. “No training on meeting content” is a narrower, more useful claim than “no data is ever shared.”
Set a retention owner, restrict recap access and decide what should be deleted. Exporting a recording or syncing notes to another system creates another place your own policy must cover. Deleting the Fireflies record should not be assumed to clean up copies elsewhere.
Is Fireflies AI HIPAA Compliant?
Fireflies advertises HIPAA support, but its specified healthcare setup is Enterprise with Private Storage and a business associate agreement (BAA), which governs a service provider's handling of protected health information. Business is not the documented shortcut to that configuration. Have the appropriate people verify the agreement and setup before handling that data.
Fireflies AI Review Verdict: Buy the Archive You Will Use
Fireflies earns a place when a recorded conversation regularly needs to become a checked next step for someone else. Its strongest workflow is capture, source-linked review, retrieval across meetings and a controlled CRM handoff.
Choose Business when retaining the growing archive, manager analytics or HubSpot Autofill is necessary. Choose Pro when notes, recordings and routine integrations solve the job within its storage and session limits. Choose Granola when personal notes matter more than replay; choose Otter when shared live transcription and audio review are the priority and its plan limits fit.
The decision flips against Fireflies when nobody owns the resulting record. If summaries accumulate unread, CRM suggestions go unapproved and sharing settings remain accidental, another recorder will not fix the workflow.
Next week, put one approved customer call through the full handoff. Have the account owner verify the commitment, locate it again from the archive, and check the destination CRM record. Review capture settings and credit billing before expanding. Pay for the plan that makes that process repeatable.
Frequently Asked Questions
Is Fireflies.ai free?
Yes. Free has limited summaries and 400 stored minutes per team. For users signing up on or after 1 September 2026, unlimited transcription requires an eligible Auto-join setting; switching it off leaves three meeting transcriptions, and invite-only does not qualify. The free-transcription conditions explain the scope. Do not broaden recording merely to qualify for a free allowance.
Can Fireflies.ai be trusted?
Its published controls support a serious evaluation, but trust depends on configuration and use. Verify capture permissions, recap access, retention and the accuracy of consequential commitments before rolling it out across your team.
Is Fireflies.ai ethical?
A defensible use tells participants what is being captured, gives them an appropriate choice, limits access and keeps the record for a defined purpose. A visible bot or an installed desktop app does not settle those decisions for you.
Does Fireflies.ai use your data?
Yes, it processes meeting content to provide transcription, summaries and related features. Its policy says meeting content is not used to train internal or external AI models and imposes zero retention on third-party processors after processing. Your workspace archive is a separate retention question.
How much does Fireflies.ai cost per month?
The cost section above separates annual-rate equivalents from monthly billing and shows the team totals. Add advanced-AI usage to the base seat subscription; unlimited standard summaries do not mean unlimited use of every AI feature.
Is Fireflies.ai HIPAA?
Fireflies lists HIPAA compliance for its Enterprise offering. Its security page specifies a BAA with Enterprise and Private Storage. Confirm that configuration and agreement for your intended use.
Is Firefly AI any good?
Check the product name first. This review evaluates Fireflies.ai, the meeting assistant; it does not establish a verdict for another product called Firefly.
Is Copy.AI a good tool?
That is a separate product evaluation. The Fireflies decision here is about capturing meetings, retaining evidence and completing the handoff; it does not establish a recommendation for Copy.AI.
Is instantly AI trustworthy?
This review does not evaluate Instantly AI's security or data practices. Do not apply Fireflies' policy commitments to another vendor.
